- Open and track projects within company software; compile and maintain comprehensive project files and closeout documentation.
- Assist with the preparation of project documentation, change orders, and purchase orders.
- Provide administrative assistance to project managers and field teams to ensure operational efficiency.
- Track employee certifications, medical clearances, and mandatory training schedules.
- Assist with company licenses, regulatory filings, and environmental compliance reporting.
- Assist with project invoicing, billing documentation, and data entry into accounting systems.
- Support collections and maintain professional communication with clients regarding billing status.
- Track subcontractor insurance certificates (COIs), prequalification documentation, and project bonds.
- Exceptional time-management skills and a high degree of attention to detail.
- Strong written and verbal communication skills for interacting with clients and field staff.
- Proficiency in billing and a strong understanding of accounts receivable/payable and the ability to reconcile complex project-related financials.
- Proficiency with standard office software and a quick ability to learn proprietary project management systems.
- Previous experience in construction, environmental services, or project administration is preferred but not required.
