The ideal candidate is a high-performing professional who can juggle multiple responsibilities with a lot of attention to detail. Candidates who pursue this position should thrive in a fast-paced organizational environment, understand the importance of cross-functional collaboration and have strong time & relationship management skills. Responsibilities:
    • Process weekly invoices and contractor payments
    • Help manage the AP expense tracker
    • Help with the HR coordination of sourcing, arranging interviews, and contracts; regularly use online Applicant Tracking System through TriNet
    • Maintain and modify various master internal contract templates and guidelines
    • Prepare spreadsheets and onboard students/contractors to online payment systems (Gusto). Process over 800 transactions and student stipends per semester.
    • Handle large mailings from the organization to stakeholders, maintain paper and electronic filing systems, and maintain confidential and sensitive information
    • Providing appropriate level of Operational support (HR, Finance, Risk Management/Compliance, and IT) to the program and development teams to ensure work is carried on a timely basis
    Marketing & Events Support:
    • Manage and execute external communications content calendar, leveraging AI-powered tools to streamline content creation and enhance engagement.
    • Collaborate with other the programs and development departments to create social media posts, blog posts, and newsletters using Canva, Buffer, Weebly and Mailchimp
    • Track performance of external communications through a metrics dashboard.
    • Develop and update digital, printed, and website materials for AOT's annual Innovators and Disruptors Awards, along with making minor content adjustments to the AOT website as needed.
    Executive Support:
    • Provide administrative assistance, such as writing and editing emails, drafting memos, and calendar management and on behalf of the CEO and President
    • Coordinating travel arrangements (both domestic and international) and create trip itineraries for work travel, speaking engagement and general stewardship initiatives
    • Providing administrative and project management support to the leadership team in preparation for staff, board and committee meetings throughout the year, including developing materials for all board meetings
    General:
    • Contribute toward the development of standard operating procedures in all areas of business, and continue to find new ways to improve quality and efficiency
    • Work cross-functionally with all departments and leadership to support the future of AOT and additional projects as necessary
    Must Have:
    • Bachelor's Degree; Comparable experience will also be considered
    • 3+ years management and/or administrative experience working in education, nonprofit, or comparable field
    • Detail-oriented and enjoys working on tasks that require consistency and reliability.
