    Summary/Primary Purpose: Assist with responsibilities and functions of the office of the General Secretary(GS) and Omaha Area Command (OAC)relating to program and office procedures. Operates with a high degree of independent judgment and maintains close and highly responsive relationships to the daily activities of the General Secretary and Omaha Area Command.

    Essential Duties and Responsibilities:
    • Maintain familiarity with the Policy Procedure Manual, Finance Minute Book, and Orders and Regulations for Officers.
    • Field calls and inquiries, process incoming mail, handle routine correspondence, as well as schedule appointments, meetings, and maintain GS/OAC calendas as directed.
    • Maintains TEAMs Channels as well as SharePoint sites.
    • Assist in the coordination and compilation of items as related to the General Secretary's areas of responsibilities including Men's Camp, Men's Outdoor Adventure, Officer Reviews, S.T.E.P.s, and GS portion of the annual New Officer Orientation Meeting.
    • Design and update various databases, program booklets, presentations, and other lists such as birthdates, anniversaries, DHQ Bulletin Board etc, as directed.
    • Review the GS/OAC e-mail as instructed, handle, sort or forward as appropriate.
    • Responsible to prepare agenda and provide minutes and other communication to attendees of the Coordinating Council.
    • Assist the Development Department's facilitation of all Omaha Advisory Board and affiliate meetings.
    • Schedule Employee Committee meetings and distribute information as assigned.
    • Maintain GS bring-up system for follow-up action.
    • Resonsible for preparing TSAMM proposals for the DFB agenda.
    • Maintain general, corps, and officer personnel files.
    • Maintain TEAMs Channels as well as SharePoint sites for the GS's Office
    • Assist with scheduling, staffing, and maintaining minutes of meetings under the supervision of the office to include: Employee Committee, All Staff Meetings, Coordinating Council and as directed, other committees.
    • Attend advisory board and other committee meetings, prepare minutes and arrange for refreshments as directed.
    • This role will be responsible for providing breaks and coverage should it be needed for front desk duties, as well as maintaining the list of DHQ employees to provide coverage.
    • Make travel and hotel reservations or arrangements when necessary and facacilitate meeting locations and needed hospitality for attendees.
    • The role is required will be required to drive when required.
    • All other duties as assigned.
    Supervisory Responsibilities: DHQ Cleaning Vendor

    Additional Information

    Education and/or Experience: High school diploma or general education degree (GED) and 5-7 years of related experience. Associate degree in a related field may be given preference. Must be willing and able to continue education or to learn new computer applications as needed.

    Qualifications: The requirements listed below are representative of the minimal knowledge, skill, and/or ability required for this position.
    • Ability to be flexible and able to work on multiple projects or tasks simultaneously.
    • Advanced skills in Microsoft software including Word, Excel, Teams, and PowerPoint, along with the ability to access payroll, timekeeping, and personal data via a web-based system.
    • Good communication skills both written and spoken, and ability to maintain effective working relationships.
    • Correspondence and telephone responses should reflect a high degree of sensitivity and professionalism.
    • Demonstrated ability to handle confidential matters.
    Other Qualifications: Must pass all applicable background checks. Must possess a valid driver's license from the state in which you reside. Must be approved through The Salvation Army Fleet Safety Program to drive either a Salvation Army or personal vehicle on Salvation Army business.
    • Must successfully complete Safe from Harm training within 90 days of hire, as established by The Salvation Army.

This position requires the ability to stand, walk, sit, and use hands to finger, handle or feel. This position also requires the ability to reach with hands and arms, stoop, kneel, crouch or crawl and talk or hear. This position also requires the ability to lift up to 25 pounds occasionally.
