Administrative Assistant to the Athletic Director
Position Purpose
Under the direct supervision of the athletic director, or other administrator, provides clerical, secretarial and administrative assistance to school administrators at a school site, conveying information regarding school functions and procedures; and supporting the broad array of services provided to students, parents, instructional and support employees.
To assist the athletic director in managing and coordinating the school district athletic activities and sports programs to promote athletics and physical fitness as positive extra-curricular activities.
Essential Functions
  • Prepares, copies and distributes notices, memoranda or other correspondence for the purpose of informing school employees regarding activities, events or other work-related matters.
  • Assists in planning and scheduling school events and activities, and maintaining gymnasium calendar of school and students events for the purpose of coordinating and scheduling practices.
  • Assists in maintaining documents, files and records for the purpose of providing up-to-date reference and audit trail for compliance.
  • Manager of ticket sales in charge of finding people to sell tickets at all events as well as being willing to assist and work home events.
  • Manages cash boxes and cash flow in and out of the athletic office, ensuring the security and integrity of the financial processes.
  • Assists in maintaining inventories of supplies and materials for the purpose of ensuring items' availability.
  • Answers telephone calls, and provides information and assistance to callers.
  • Evaluates situations for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
  • Manages the registration of athletes in regard to athletic participation, including confirming physicals, consent and release forms, physician signatures, and other IHSAA mandates.
  • Responds to inquiries from students, parents and employees, providing information, facilitating communication among parties and/or providing direction.
  • Helps coordinate supervision of the High School's athletic programs.
  • Serves as a point of contact for the community, parents, administrators, teaching staff, coaches and students on matters pertaining to the athletic programs.
  • Assists the AD in the scheduling and coordinating of athletic events, and disseminates information as needed regarding the times and places athletic events.
  • Assists the AD regarding the finances for all sports programs and sporting events, including inventory and control of uniforms, supplies and equipment.
  • Assists in ensuring that all IHSAA regulations relating to athletics are applied and followed.
  • Coordinates the transportation schedule and provides for safe and cost-effective transportation for off-site athletic or sporting events.
  • Assists in establishing and administering digital tickets and season passes through the Eventlink management software.
  • Records and tracks event results for determining awards relating to participation and demonstrating excellence in school district athletic programs, including eligibility requirements.
  • Creates materials to publicize athletic and sporting events, both in printed and electronic formats (Canva), for the purpose of disseminating information and fostering enhanced awareness among students, staff, and the community in recognizing and supporting the school's athletic programs and attending events.
  • Maintains professional relationship with media sources for the purpose of providing information regarding schedules, postponements or cancellations, sporting event statistics, records, and other relevant information.
  • Assists AD in the promotion of sporting events and individual athlete accomplishments through the use of Athletic Department Social Media Outlets.
  • Assists AD at season-end awards recognition nights.
  • Coordinates with others for the purpose of scheduling ancillary activities that occur prior to, during, and after sporting events, such as musical programs, press boxes, scorers tables, half-time programs, police coverage, ticket sales, availability of on-site medical care, concessions, custodial services, and other related activities.
  • Maintains records and documents as required and necessary to ensure proper documentation of athletic program activities, events, participation, and related information for the purpose of complying with school policies as well as applicable laws and regulations.
Additional Duties
Performs other related tasks as assigned by the Athletic Director, High School Principal or Superintendent.

Equipment
  • Uses standard office equipment such as personal computers, printer, copier and fax machines, calculator and telephone.

Travel Requirements
Travel to school district buildings and professional meetings as required.

Knowledge, Skills, and Abilities
  • Knowledge of athletics, athletic programs, and physical fitness.
  • Ability to understand, apply and use personal computers and software applications (e.g., Word, Excel, PowerPoint).
  • Effective verbal and written communication skills.
  • Ability to organize multiple tasks and conflicting time constraints.
  • Ability to establish and maintain cooperative working relationships with others contacted in the course of work.
Qualification Profile
Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying.
Typical qualifications would be equivalent to:
  • Graduation from high school. (2 year degree preferred, but not required)
  • Some Shorthand or speed writing skills desirable.
  • Successful experience with office management preferred. (Banking processes, Computer Graphics, cash deposits, etc.)
