General Summary of Position
MedStar Franklin Square Medical Center is looking for an
Office Supervisor in the Ambulatory- Oncology Outpatient Clinic.
The Office Supervisor supervises and monitors the day-to-day activities of
office support staff equal to a minimum of 2 FTEs. Provides work direction and
assigns schedules. Provides high-quality service, administrative support,
clinical support, and financial administration for the daily operations of an
office or medical office practice.
What you will do
Contributes to the achievement and assists in the
development of established department goals and objectives and adheres to
department policies, procedures, quality standards, and safety standards.
Complies with governmental and accreditation regulations.
Performs a variety of complex and confidential
administrative duties. Exercises considerable discretion and independent
judgment and is capable of analyzing complex information requests and
determining complex trends.
Assists in selecting, training, orienting, and
assigning of department staff. Develops performance standards, evaluates
performance, and conducts performance management planning. Initiates or
makes recommendations for personnel actions. Maintains ongoing
communication with subordinates to review programs, provide feedback,
discuss new developments, and exchange information. Provides adequate
training of new staff. Conducts competency and quality assurance testing
of staff, ensuring compliance with standards.
Prepares associate work schedules and arranges for
adequate coverage to maintain optimum patient service. Assures the proper
accounting of hours worked and paid time off. Coordinates the daily
activities of office personnel. Maintains payroll records, time and
attendance, and personnel records.
Prepares and directs reports and statistical analysis
as needed. Prepares, updates, and copies forms, reports and records on a
routine basis.
Supervises the maintenance and preparation of records,
files and other documents.
Responds to and resolves problems and complaints.
Supervises procurement activities for the department,
including purchasing, receiving, storage, inventory control and
utilization of equipment, materials and supplies. Responsible for the
maintenance, performance, and repair of equipment, furnishings and
facilities.
Participates in multidisciplinary quality and service
improvement teams.
Qualifications
High School Diploma or GED, Required.
Associate's degree business courses or
administrative/secretarial training, Preferred.
3-4 years Administrative/secretarial experience, Required.
Supervisory experience, Preferred.
Working knowledge of assigned department's practices
and procedures.
Ability to handle sensitive situations.
Good analytical and problem-solving skills.
Effective organizational and time management skills.
Ability to work independently.
Working knowledge of Microsoft Word and Excel software
applications.
Strong commitment to quality and customer service.
Excellent verbal and written communication skills.
