    Bureau of Contracts, Finance, Grants & Development

    Salary: $58,956

    Number of Positions: 1

    This position is open to current BIDDERS from AFSCME AND the PUBLIC including current city employees in other unions or non-union positions.     ROLE SUMMARY

    As an essential member of the Chicago Department of Public Health, the Administrative Assistant III role performs administrative and office management support functions for the Assistant Commissioners within the Contracts, Finance, and Grants and Development Bureau, supervises clerical and administrative office operations; and performs related duties as required.

    ESSENTIAL DUTIES & RESPONSIBILITIES

    • Creates and maintains databases and spreadsheets using various software packages
    • Researches, compiles and analyzes data to prepare programmatic and administrative reports. Edits and proofreads documents and reports
    • Drafts correspondence for supervisor's signature
    • Orders and maintains materials and supplies and resolves problems with vendors
    • Researches costs and analyzes expenditures to assist in the preparation of the annual budget
    • Schedules meetings, creates and maintains sign-in sheets for meetings, and takes notes during meetings and site visits

    Location: 333 S. State St. (The DePaul Center)

    Days: Monday - Friday

    Hours: 8:30am to 4:30pm

    Qualifications

    POSITION REQUIREMENTS

    Experience

    • Three years of progressively responsible administrative or secretarial experience, or an equivalent combination of training and experience.

    OTHER SKILLS, ATTRIBUTES, AND ABILITIES

    * Good knowledge of office management, administrative procedures, and practices

    * Ability to develop and maintain effective working relationships with supervisors and staff

    * Skilled in preparing informational reports

    * Excellent verbal and written communication skills

    * Proficient in Microsoft Word, Excel, PowerPoint, and Outlook
