    Position Overview

    The Program Coordinator supports the PMO with various tasks, including change management and estimate development, communications and documentation control, reporting responsibilities, targeted analysis and process improvements.

    Coordinators act directly in support of a Project or Program Manager resource for the projects they are assigned to, and often supports ad hoc requests and issue resolution at the PMs direction. Coordinators are expected to be good communicators and problem solvers and will need to support different functional groups during contract execution. The valuable insight and experience learned supporting these complex programs is a direct path into Program Management roles and responsibilities.

    Responsibilities

    • Compilation of program cost and progress data supporting the Program Managers in conducting program reviews and status meetings both internal and external.
    • Preparation and filing of internal and external program documentation and communications (both hardcopy and electronical).
    • Collation of content for regular internal and external reporting deliverables.
    • Maintenance and distribution of action item lists and other team support as required.
    • Supporting project financial activities, which may include cost analysis, scope change estimates, and tracking scope management requests contractually.
    • Ad hoc analysis and one-off projects may be assigned based on specific project needs or issues.

    Education/Experience:

    • High school diploma required.
    • At least 1 year of relevant work experience required.
    • College degree or maritime academy preferred.
    • Maritime industry experience preferred.

    Language Ability:

    • Strong ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
    • Efficiently write and edit reports, business correspondence, and procedure manuals.
    • Effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

    Reasoning Ability:

    • Able to problem solve with minimal knowledge or information and effectively utilize resources in the aforementioned situations
    • Skill in organizing material, information, or people in a systematic way that can be duplicated.
    • Capable of interpreting a variety of instructions furnished in written, oral, diagram, or schedule form. Must be able to formulate logical and objective conclusions from a variety of situations.

    Computer Skills:

    • Required: Intermediate or expert level with Adobe Acrobat and Microsoft Office products (Word, Excel, PowerPoint, Project, and Outlook).
    • Proficient in typing and data-entry skills, with the ability to quickly learn different web-based computer programs.
    • Familiarity with Visio, Access, and AutoCAD and the ability to troubleshoot a variety of moderately difficult technical problems is recommended but not required.
