We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our dynamic team. This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. Responsibilities

  • Greet visitors, clients, and vendors warmly, providing outstanding customer service and ensuring a positive first impression.
  • Manage multi-line phone systems, screen calls, take messages, and direct inquiries to appropriate team members with professionalism and courtesy.
  • Handle front desk duties including scheduling appointments, maintaining visitor logs, and managing incoming correspondence.
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization across all administrative tasks.
  • Utilize office management software such as Microsoft Office, Google Workspace, QuickBooks, and other tools to support daily operations efficiently.
  • Support calendar management and coordinate appointments for staff or executives as needed.
  • Assist with basic bookkeeping tasks including invoicing, billing, and record keeping to support financial processes.
  • Maintain office supplies inventory, organize files systematically, and ensure the office environment is tidy and functional.
  • Provide clerical support such as photocopying, scanning documents, preparing reports, and handling mail distribution.

Qualifications

  • Proven experience in office administration or clerical roles with strong organizational skills.
  • Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and familiarity with QuickBooks or similar accounting software preferred.
  • Exceptional phone etiquette with experience managing multi-line phone systems in a professional setting.
  • Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members.
  • Strong typing skills with attention to detail for proofreading documents accurately.
  • Previous experience in customer service or front desk roles within medical or dental offices is a plus.
  • Ability to prioritize tasks efficiently using excellent time management skills in a fast-paced environment.
