    Position Summary:

    We are seeking a Specialist who will lead (i) document management and document control across all of Bechtel Enterprises and (ii) document and contract obligation management for development projects that Bechtel Enterprises owns. This position offers a hybrid work schedule (3 days a week in office, 2 days remote).

    Document Management and Control: We are seeking a candidate to maintain the BEn document management and control system across our business. The candidate would also be responsible for information governance (e.g. identify where categories of information are to be stored, develop streamlined search terms) and continue to train of the broader Bechtel Enterprises team on the system/workflow.

    Contract Obligation Support for Development Projects: Bechtel Enterprises creates new projects in several sectors, including renewable energy and data centers. This work requires a significant number of contracts with external parties, such as landowners from whom we lease land (up to 100 per project) and specialty consultants from whom we procure services. With the assistance of BEn's Legal Team, the Specialist will lead the tracking and notification of obligations that arise from these contracts (e.g. alert accounts payable of invoices, alert legal of proof of insurance deadlines).

    Our ideal candidate is a meticulous and detail-oriented operator who loves to tackle challenges (many of which are new to Bechtel), enjoys working in a fast-paced environment, and collaborates with colleagues.

    Responsibilities:

    • Manages BEn document management system for archived records/contracts and new records/contracts.
    • Has excellent working knowledge of multiple data storage environments and platforms (including both SharePoint and IntraLinks) and can provide document management support for a high volume of documents in an active transactional environment.
    • Maintains effective communication with other project team members when contract obligations are due (e.g. invoices, payments) on development projects owned by Bechtel Enterprises.
    • Prepares routine tracking and information guideline documents, using standard word processing, spreadsheets, or other office software as needed to support work activities.
    • Processes a high volume of land lease documents while maintaining a system/platform to track all key contract obligations.
    • Processes and tracks a high volume of external specialty consultants' requests for services and alerts Accounts Payable of invoices due.
    • Processes and tracks external legal invoices through SimpleLegal and alerts Accounts Payable of invoices due.
    • Trains personnel in the use of information storage and tracking practices. Monitors work to ensure effective implementation of these practices.
    • Keeps abreast of department technologies, techniques, and services that are available.
    • Compiles information, analyzes and prepares reports, and establishes metrics for document management activities.

    Qualifications and Skills:

    Basic Qualifications:

    • Candidate must have the right to legally work and remain in the United States.
    • 8-10 years of recent document management experience.
    • 3 years of experience using ECMS.
    • 3 years of recent contract obligation management experience.
    • Demonstrated skills in oral and written communication in English.

    Preferred Qualifications:

    • Familiarity with Microsoft Word and Excel.
    • Recent experience using SimpleLegal.
    • 5 years of experience using ECMS.
    • 10 years of recent contract obligation management experience.
    • Experience using SharePoint, including high security platforms.
    • Experience using IntraLinks.
    • Recent Bechtel experience and knowledge of the BEn organization.
