    We are seeking an Administrative Assistant to join our team at our headquarters in Auburn, Maine. This essential role is key to maintaining the efficient operation of our office. Responsibilities include handling clerical duties, facilitating communication among team members, advisors, and clients, and assisting with our marketing initiatives, scheduling processes, and management of client files.

    Salary range: $45,000 - $50,000

    Key Responsibilities:

    • Serve as the first point of contact for NAF, presenting a warm and professional welcome to prospects and clients.
    • Facilitate communications among staff, advisors, and clients, providing necessary information as required.
    • Support the management of Blue Leaf, including updating accounts, merging, sending invites, and managing mail requests.
    • Ensure office procedures are organized and efficiently executed.
    • Manage data entry, client appointment scheduling and confirmation, and the generation of birthday lists.
    • Take charge of document filing and maintaining office supplies.
    • Handle all incoming and outgoing mail and FedEx deliveries.

    Preferred Qualifications:

    • Experience in an administrative role within the financial services sector.
    • Strong organizational, time management, and communication abilities.
    • Proficient in multitasking, with excellent telephone handling skills.
    • Experience with scheduling and a collaborative team spirit.
    • Attention to detail.
    • Competent in using computers and various technical software.
    • Proficiency in customer service, both verbal and written.
    • Familiarity with software applications like Microsoft Office Suite, Blue Leaf, and Redtail.
