- Answers incoming phone calls and routes them to the appropriate party.
- Answers phones for the President and other personnel as needed. Take messages or field/answer all routine and non-routine questions in a timely and pleasant manner.
- Accurately records phone messages and information.
- Greets customers and directs them to the appropriate department or employee.
- Manages postage machine and copier maintenance and repairs.
- Maintains general office supplies.
- Schedules Interviews.
- Prepares new employee files.
- Verifies I-9 documentation and maintains book.
- Assist HR in administrative duties.
- Assist in set up of meeting rooms for visitors and employee events including audio visual equipment, food, and beverages, etc.
- Assists management and other staff with various office/administrative duties when requested.
- Scanning and maintaining Shipping and quality documents.
- Schedule, organize, and plan complex activities such as meetings, travel, conference calls, and appointments.
- Regularly review and maintain the EHS calendar.
- Ad-hoc projects as needed.
- Photocopy and fax information and documents as needed or requested.
- Type and proofread general correspondence.
- Compile and create expense reports.
- Education/Experience/Skills Required
- At least 3 years office/clerical experience or related field is preferred.
- Strong organizational, customer service and telephone skills.
- Must be computer literate in the use of word processing, spreadsheet and desk top publishing software (Word, Excel, Power Point, Etc).
- Must have excellent verbal and written communication skills and the ability to interact at all levels of the organization.
- Must have knowledge of secretarial, office, and administrative procedures.
- Individual required to be sighted (can be medically corrected), with clear verbal and written communications skills. Job includes lifting of product/supplies ranging from minimal to 25 pounds on an occasional basis. Individual will be required to be mobile, with bending, reaching, kneeling, stooping, and crouching.
- Occasional problem solving is required in this position.
- Occasional decision making is required in this position.
- Frequent computer use is required for this position.
- This position performs work in a normal office environment.
