Job summary

The Administrative Assistant is responsible for providing clerical/administrative support to the Association and helps to maintain an efficient office environment.
· Office receptionist. Greets residents/visitors.
· Answers phones, routes calls, and takes/distributes accurate and timely messages.

Responsibilities

* Composes (when required), types, and word processes documents as needed.* Assists homeowners with ACC applications.* Assists ACC Committee as needed. Prepares Meeting packets for review/ approvals.* Assist activities team for social events as needed and creation of flyers.* Assist with inspections of homesites for compliance Notify owners of non-compliance and steps required to avoid further action* Monitors and updates community bulletin boards* Receives sorts distributes incoming mail Prepares outgoing mail for distribution* Website updates generates eblasts monthly newsletters* Document faxing scanning copying Maintains office filing storage systemsMaintains resident databases lists contacts homeowner information etcMaintains adequate stock office suppliesEnsures small equipment properly maintained serviced Ensures clean free clutter professional appearance Daily work includes email traffic electronic calendar other software programsConducts new owner orientation processing amenity cards vehicle decalsAssists residents new amenity cards vehicle decals lease etc assigned by manager or AssociationIn coordination General Manager CAM responsible generating monitoring work orders completion communication maintenance staff vendorOther duties assigned manager or Association

Qualifications
