    Posting Summary

    Position Title
    Sr. Administrative Assistant - School of Business

    Overview
    Reporting directly to the dean of the School of Business, the primary responsibility of this position is to provide administrative support for the deans, department chairs and area coordinators in the School of Business and interacts closely with the students, and the full-time and part-time members of the faculty.

    Job Responsibilities
    • Administrative [50%] - Assist in general management of the School of Business to ensure smooth operation of daily activities:
      • Serves as informational focal point for students and faculty in the School of Business
      • Schedules appointments, meetings; maintains calendars; makes travel and conference arrangements.
      • Attends meetings as needed (for example faculty meetings), and is responsible for taking and distributing minutes.
      • Manages student course registration inquiries and is responsible for inputting overrides into the Banner system in coordination with faculty approval.
      • Oversee the ordering of supplies and equipment as needed by the School.
      • Plans and executes special events for the School, including coordinating catering and other services as needed.
      • Attends off-campus events for the School of Business, as required, and collaborates with University event personnel to coordinate.
    • Program Support [40%] - Support the undergraduate and graduate programs:
      • Provides support for deans, chairs and coordinators in sending correspondence to students
      • Provides support in planning recruitment and orientation events
      • Provides support to deans and department chairs in assembling and submitting course schedules and catalog submissions
      • Enters course schedules into Banner
    • Academic Activities Support [5%] - Initiates and coordinates activities such as:
      • Provides support to deans and department chairs in preparing and submitting catalog entries and academic course descriptions and schedules
    • Faculty Recruitment [5%] - Assist with faculty recruiting efforts such as:
      • Establishes and maintains files on prospects
      • Provides assistance to search committees as needed to support search process. Responsibilities may include: setting up interview schedules, food/lodging arrangements, and communicating with stakeholders

    Other Duties as Assigned - responsible for additional tasks as assigned by the dean.

    Education / Experience
    Minimum related AAS degree; preferred Bachelor's degree, or significant experience required. Office experience in higher education highly desirable.

    Competencies / Skills
    This position requires excellent organizational, interpersonal, communication and critical thinking skills. The administrative assistant is the initial interface with students and faculty in the School of Business. The administrative assistant must have the ability to accomplish things in a busy environment where work can be disrupted, and, in addition, be able to use judgment to determine what issues must rise to the dean's level and work respecting the confidentiality in the dean's office. The assistant should be able to work independently and have the skills to effectively use existing technology and the willingness to learn new applications appropriate to School of Business operations. Project management skills are a plus.
