Job Description
Project Designer
Overview
The Project Designer is responsible for working with the clients to design and develop their projects to fit within the predetermined investment range on their initial design agreement. The Designer is responsible for creating and supplying all the design specifications and drawings needed by the production team to produce the project and so the client has a full understanding of the design of their project and what it will look like at completion.
Hours and Time Tracking
The designer position is considered a "Cost of Goods Sold" position working for the client on retainer in a billable hourly fashion. This means all hours spent on client projects must be accountable and documented within Buildertrend in 15-minute intervals accompanied by what specific task was completed during that time frame.
Specific Duties
1. Immediately following the closing of the Design Agreement, the Project Designer will coordinate with the Sales Department and create the individual job folders, including a full detailed selection choice sheet for all items that need to be decided on by the client.
2. The Project Designer will assist in fixture/finish material take-offs for the ordering process for specialized materials.
3. The Project Designer will connect and meet clients at the appropriate vendors to make the selections needed for their project and document all decisions in Buildertrend.
4. The Project Designer will hand off and coordinate to the Production coordinator all pertinent information to successfully order the selection or design materials included within the original estimate and contract.
5. The Project Designer will communicate and confirm with Salesperson, Production Coordinator and Production Manager that all final selections were made and accounted for final estimating and Final Contract.
6. The Project Designer will, after a project is sold, work in tandem with the Production coordinator to assist in the creation of the purchase orders for the correct materials needed for the project.
7. The Project Designer will assist in general both the Sales and Production Departments in their day-to-day operations to ensure the success of the projects.
8. The Project Designer will provide and keep an accurate list for all projects noting what is outstanding to be selected and make a report at each weeks' WIP meeting on progress.
9. It is the designer's responsibility to inform the Production Manager and Coordinator if the desired timeframe for design completion will not be met with a minimum of 1 week in advance.
10. If an outside designer is utilized either by the client or company for any project, the Project Designer will coordinate and double-check all selections, take-offs, design items, budgets, payments, purchase orders being used on the project and send final selections to the production coordinator.
11. The Project Designer will make daily logs within Buildertrend for all meetings with the clients noting all conversations and or decisions. Those daily logs are to be viewable by the client.
12. The Project Designer is responsible for creating or purchasing customer appreciation promo baskets / or gifts when the project is 100% complete and all.
13. The Project Designer will work in tandem with the project coordinator to create the final design book that will be approved by the client and used by the field crew for production and delivery.
The Project Designer tools will include but is not limited to the following:
Chief Architect X17 or newer - Auto Cad
Buildertrend Project Management Software
Use of Microsoft Word, Excel, and Power Point
Canva for creation of all design books
General Project Tasks
Project Designer
Work with clients, sales and outside designers to create and manage the design concepts
Supply clients with "homework" immediately following the sale
Weekly status report of all projects in design including timelines of completion
Contact emails with vendors and clients
Attendance at the company weekly WIP meeting
Attendance at the trade walk through
Attendance at pre-construction walkthrough
Vendor and subcontractor meetings to review design concepts
Build and maintain Design Selections for this project
Design sketches - reviewed with client and subs
Client meetings - vendor and site
Final design selections – for estimating and production
Send all final selection pricing to the Production manager/Estimator for final sale closure
Bi-Weekly site visits confirming the agreed design is being produced in the field.
Assist in Design related Material take offs for pricing
Assists the Production Coordinator in purchase orders and ordering of all Design items
Confirmation, accountability, and delivery of all selection items
Problem solving for all Design Selection Items
Developing the information for all purchase orders for design selections
Review and approval of all vendor invoices from design selections
Attendance at final walk-through meeting
