    Southeast Health Center - 901 Shelby Street, Indianapolis, IN 46203

    The Office Manager contributes to Homeless Initiative Program's (HIP) Mission by ensuring staff office needs are met in order to promote an effective functioning office. Position is part-time, 24 hours / week.
    The Office Manager is responsible for:
    • The safety and comfort of the building while ensuring office supplies and equipment are available and in good working condition.
    • Effective and efficient ordering of office supplies, janitorial supplies, medical supplies and medication, and ongoing maintenance and operation of office equipment.
    • Coordinating donations, coordinating response to all donors, maintaining order of all donation rooms, and ensuring donations are getting to clients as needed.
    • Petty cash, check request flow, and collection of W-9s for HealthNet Finance; and proper acceptance and care of donations.
    • Filing paper and electronic filing of client information and other documents to database.
    • Primarily responsible for onboarding all new staff, and ensures office set up for all new staff.
    • Responsible for all incoming and outgoing mail.
    • Decorate and maintain common areas such as hallways and café as desired.

    • Active participation in all mandatory meetings such as: All Staff, HealthNet Supply Chain, and Supervision.

    • Apply a minimum of one health literacy method when communicating with patients/clients.
    • Establish and promote positive communication among all team members of HIP to increase collaborations and efficiency.
    • Represent HIP in a professional manner at all times, providing courteous service to both internal and external partners and presenting a positive image of HIP so as to always act as an ambassador of HIP services.

    Education and Experience
    • High School Diploma or GED required.
    • Requires strong interpersonal skills and ability to work as a team member.
    • Requires experience with Microsoft office.

    • Requires excellent interpersonal communication skills and the ability to exercise tact and discretion.
    • Requires the ability to remain flexible and responsive in order to handle and prioritize workload from various sources.

    Work Environment and Physical Demands
    • Must be able to operate in a fast paced, challenging and changing work environment.
    • Must be able to work proficiently with computers and other office equipment.
    • Must be able to travel for meetings throughout the community.
    • Must have reliable transportation. Drivers of privately-owned vehicles must have valid driver's license and meet state required automobile insurance minimums. Maybe required to transport clients.
    • Must be able to pass a background check consisting of National Sex Offender Registry, Criminal History, and driving record.
    • Valid driver's license required.
