Position Summary: The Assistant Director of Operations & Administrative Services is a critical member of the University Career Center's leadership team. This role provides attentive, compassionate, and responsive leadership to the Center's administrative operations portfolio, including all budget/finance and HR operations with basic support and oversight of facilities, information technology, and administrative services. The Assistant Director is responsible for developing systems and policies that enhance the Center's capacity, streamline workflows, and improve internal communication. Reporting to the Director, this position also contributes to strategic planning and decision-making as part of the Senior Staff team.

Breakdown of duties:
Human Resources and Staff Development
--Lead HR operations, including recruitment, onboarding, payroll, and benefits for students and professional staff.
--Serve as a primary HR contact, ensuring efficient and compliant processes.
--Foster a culture of professional development and accountability among staff.
--Uphold high standards of customer service through proactive communication and problem-solving.
--Support the Director and Senior Staff in cultivating a healthy workplace culture, encouraging staff engagement and recognition.

Financial Management and Administrative Oversight
--Develop and monitor the Center's budget, ensuring compliance with fiscal practices.
--Support financial reconciliation and prepare reports for strategic decision-making.
--Oversee administrative operations to align with strategic initiatives and manage priorities effectively.

Unit Leadership & Supervision
--Serve as a direct supervisor to assigned staff and student employees, fostering professional development, accountability, and collaboration. Is responsible for all oversight of two professional staff members, including hiring, discipline, separation, leave approval, performance evaluations, and training.
--Participate as a member of the Center's Senior Staff team, contributing to strategic discussions, problem-solving, and decision-making.

Administrative Systems Management
--Coordinate technology needs for the Center and liaise with campus and divisional IT to ensure operational efficiency.
--Lead process improvement initiatives to streamline workflows and enhance communication.
--Facilitate or coordinate staff training on critical systems, including but not limited to Workday, Handshake, etc.

Strategic Planning and Campus Collaboration
--Support strategic initiatives and track progress on organizational goals.
--Maintain strong relationships with campus partners to ensure coordinated operations.
--Represent the Center on divisional functional groups, advocating for operational needs and priorities
--Complete other duties as assigned.

Physical Demands: Work takes place in both an office environment and in on-campus buildings; will require ability to travel throughout campus. There may be occasions when the incumbent will need to work outside their normal work shift to accommodate other shifts that exist in the organization for purposes of meetings, training, etc.

Minimum Qualifications

Education: Bachelor's degree from an accredited college or university.

Experience: Seven (7) years of professional experience in human resources, payroll, budget, finance, facilities management, procurement, or managing business operations. Two (2) years of experience supervising or managing professional staff.

KNOWLEDGE, SKILLS, & ABILITIES: Knowledge of human resources policies and procedures, and federal, state, and other applicable human resources related laws, rules, regulations, and ordinances.
Knowledge of business acumen to understand key business drivers, organizational communications, and data.
Knowledge of organizational and unit performances measures.
Knowledge of the impact and implications of decisions on leadership objectives.
Skill in oral and written communication.
Skill in data analytics and negotiation.
Skill in the use of Microsoft Office and Google Workspace products.
Ability to research information and analyze/synthesize complex data and information to create reports and presentations with valid conclusions derived from various sources.
Ability to exercise independent judgment and discretion.
Ability to develop and administer new policies and procedures.
Ability to interpret and apply policies, procedures, regulations, and laws.

Education: Master's preferred

Experience:

Human Resources Expertise: Strong knowledge of HR operations, including recruitment, onboarding, payroll, and benefits management. Workday experience is a plus. 

Financial Management Skills: Proven experience in budget development, monitoring, and financial reporting.

Administrative and Process Improvement Experience

  • Strong organizational skills with experience in overseeing administrative operations and aligning them with strategic goals.

  • Demonstrated ability to lead process improvement initiatives and streamline workflows.

  • Project management experience is a plus.

  • Basic computer skills and ability to work in enterprise systems (e.x. Workday) is important. 

Strategic Planning and Collaboration Abilities

  • Experience in supporting strategic initiatives and tracking progress on organizational goals.

  • Ability to maintain strong relationships with campus partners and represent operational needs effectively.

Customer Service and Leadership Skills

  • Excellent communication and problem-solving skills with a focus on providing high standards of customer service.

  • Experience in fostering a positive organizational culture and encouraging staff engagement and development.
