- High School Diploma Required; Associates Degree or Higher Preferred
- Two years school district experience preferred
- Experience planning and coordinating facility scheduling
- Some knowledge of supervisory practices
- Computer skills in the following areas: scheduling software (Schooldude preferable), Microsoft applications, basic HTML;
- Knowledge of bookkeeping processes and mathematical skills;
- High level of verbal and written skill so as to effectively communicate;
- Ability to participate and contribute effectively in a team environment;
- Able to work in a respectful and confidential manner;
- Schedule district-wide facility usage.
- Collaborate with buildings and coaching staff to create schedules to maximize utilization and maintenance of classrooms, meeting space, gyms and fields.
- Collaborate with District operations managers to ensure scheduling needs are met.
- Facilitate operational schedules to support district and community facilities use and ensure safety and security is maintained, HVAC schedules are update, and custodial is notified.
- Design and implement a process for requesting and confirming reservations, completing required paperwork and billing.
- Post events to the district online calendar.
- Compute accurate rental rates.
- Prepare customer rental agreements and billing statements.
- Coordinate after school programs.
- Query the database for information and develop reports on facilities usage.
- Resolve scheduling conflicts.
- Develop and promote a sense of district and community pride in the KPAC facility.
- Promote district and community use.
- Develop budget and pricing schedules to operate the facility.
- Learn and understand the lights, sound, and operational equipment for the KPAC
- Monitor, maintain, and prepare reports of department budgets.
- Enter and track department purchase orders.
- Prepare, send, and track inter-department billing.
- Support district operations web sites.
- Support HR operations.
- Scan personnel files
- Collaborate with district personnel, community members and organizations for the purpose of implementing and maintaining services and/or programs.
- Compile statistical and financial data for the purpose of providing information for budget recommendations and/or ensuring compliance with established regulations, and informing the public and the school board.
- Compose a wide variety of materials (e.g. reports, memos, letters, policies, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
- Inform personnel and/or vendors regarding a variety of procedures and program requirements.
- Participate in meetings, workshops and seminars as assigned for the purpose of conveying and/or gathering information required to perform functions.
- Present information on a variety of topics for the purpose of communicating information, gaining feedback and ensuring adherence to established procedures.
- Research a variety of topics for the purpose of providing information recommendations, and/or addressing administrative requirements.
- Work with students, parents, staff, and others in a positive encouraging manner.
- Know and follow district policy and chain of command.
- Act ethically and confidentially in all aspects of employment.
- Perform other duties as assigned by the supervisor.

JOB TITLE: District Facilities Coordinator
LOCATION: Support Services
REPORTS TO: Assistant Superintendent
CALENDAR: 245 days a year - need to start immediately
HOURS: Full Time - requires flexible hours
SALARY: OS6 $ /hour

JOB SUMMARY:
The district facilities coordinator is responsible for the coordination and maintenance of the district master calendar. Responsible for responding to customer and staff requests to schedule event and determine space, equipment, audio/visual, security, and setup needs. Resolves complaints, problems, and scheduling conflicts. Coordinate with District departments for services such as food, beverage, entertainment housing, security, technology and parking. Prepares and processes billing for services; projects income and expenditures and prepares and monitors budgets.
