We focus our practice in the areas of estate planning, charitable planning, elder law, Medicaid planning, probate and trust administrations, business formation, business planning and contracts, and real estate matters. We are seeking an administrative assistant /legal assistant to add to our growing practice.

    We're searching for a diligent office assistant to provide administrative support. You'll be responsible for responding to all inquiries in a friendly and timely manner, implementing office standards to streamline our processes, scheduling appointments, ordering office supplies, and much more.     Compensation:

    $17 - $19 hourly

    Responsibilities:

    Our ideal candidate has extreme attention to detail, excellent customer service skills, and a willingness to work as a team player.

    Duties include but are not limited to:

    • Gathering information for estate planning or estate administration
    • Managing administrative tasks and office correspondence by answering phone calls, and emails, and communicating with advisors and other team members
    • Schedule meetings and appointments for the team
    • Managing and assembling client documents for the final presentation
    • Acting as a support system to the team by completing basic office tasks for a smooth-running, efficient office
    • Utilizing project management software to assign appropriate due dates for all tasks
    • Acting as a support person to attorneys and paralegals to handle basic correspondence
    • Preparing and mailing prospecting client packets and managing prospective clients through the pipeline
    • Ordering all office supplies
    • Working with vendors
    • Preparing marketing materials
    • Running errands for supplies and other items
    • Managing the calendars for all attorneys, paralegals, and legal assistants
    • Assisting Attorneys and other staff as needed
    Qualifications:
    • Must be able to prioritize tasks with demanding deadlines and work in a fast-paced environment
    • Comfortable working with all Microsoft Office products
    • 2+ years experience in a professional services office preferred
    • An associate degree or higher is required; appropriate experience may be a substitute
    • Comfortable working with all Microsoft Office products: basic understanding and ability to use Excel; experience working with Microsoft Publisher is a bonus
    • Ability to communicate with people on the phone and in person in a clear and friendly manner
    • Ability and willingness to learn new software products.
