ResponsibilitiesThe Senior Operations Associate is a key team member who provides project and administrative support to enable organizational efficiency and effectiveness. Reporting to FS National Operations Leadership, this role is ideal for a proactive, highly organized professional with strong analytical and communication skills who thrives in a collaborative, fast-paced environment.
Essential Functions and Primary Duties
Analyze and organize project data, creating clear, actionable reports primarily using Excel.
Prepare and design impactful business presentations and project summaries in PowerPoint for internal stakeholders.
Manage calendars, schedule meetings across time zones, and coordinate logistics for leadership and project teams.
Capture, document, and distribute meeting takeaways and action items, ensuring timely follow-up and accountability.
Support projects with tracking deadlines, deliverables, and milestones, ensuring all phases of projects remain on schedule.
Maintain and update team and client documentation, distribution lists, and shared project resources.
Provide administrative support for special projects, including data gathering, process documentation, and progress reporting.
Maintain a high degree of discretion and confidentiality in all communications and work products.
Contribute to a positive, solutions-oriented, and collaborative team culture.
Preferred Qualifications
3+ years' experience in an administrative support capacity, preferably in a professional service or corporate environment.
Advanced proficiency in Microsoft Office Suite, especially Excel (pivot tables, charts, data analysis) and PowerPoint.
Demonstrated ability to organize, analyze, and present data clearly to stakeholders.
Excellent time management, prioritization, and multitasking abilities with keen attention to detail.
Experience coordinating meetings, managing schedules, and arranging travel for executives or project teams.
Exceptional organizational and interpersonal skills.
Proven problem-solving skills and willingness to identify and implement process improvements.
Strong written and verbal communication skills; experience drafting meeting notes, summaries, or project documentation.
Ability to exercise discretion and maintain confidentiality at all times.
Ability to work independently and adapt to changing priorities and deadlines.
Minimum Qualification:
- 3 years of experience as a subject matter expert
- Must maintain current required licenses and certifications relevant to field of expertise
- Demonstrated ability to communicate verbally and in writing throughout all levels of organization, both internally and externally
- Effective customer service skills
- Proficient use of applicable technology
- Ability to work in team environment as well as independently
- Ability to analyze and prioritize multiple responsibilities
