- Assist project manager with monitoring adherence to scope, fee and change management;
- Prepare project invoices and progress reports, including processing subconsultant invoices;
- Prepare subconsultant agreements and task orders;
- Coordinate with client and project manager to review weekly project charges, track burn rate vs. budget, monitor and advise project manager of overall project status;
- Maintain effective working relationships with client and internal team for steady flow of work and communication, project schedule, and project milestones;
- Support the preparation of the cost-to-complete and earned value report (EVR) for project manager;
- Coordinating and scheduling project meetings, preparing meeting agendas, and preparing and distributing meeting minutes;
- Performing quality reviews of large and small documents such as reports, letters, memos, minutes, etc.;
- Assist in the production and distribution of deliverables to the client (including large technical reports);
- Highly organized with ability to coordinate quality reviews of project deliverables
- Minimum eight years of experience in project coordination and/or project controls;
- A strong grasp of project management principles and practices;
- Strong leadership skills, capable of managing team and mentoring junior level staff members;
- Experience with prioritizing competing requests and managing multiple deadlines;
- Proficiency in SharePoint, Outlook, Word, Excel, PowerPoint, and Adobe Acrobat or Bluebeam Revu;
- Excellent written and verbal communication skills including proof-reading and editing;
- Experience attending project meetings and preparing meeting summaries;
- Strong interpersonal skills;
- Experience with project contracts and invoicing as well as general accounting practices such as Accounts payable/Accounts receivable (AP/AR);
- Customer service or quality control experience
- Project related experience in an architecture, engineering, or construction firm;
- Additional software skills in Primavera P6, Power BI, ProjectWise, Microsoft Access, and Microsoft Project;
- Experience with 508 compliance documentation;
- Prior experience in supervisory roles
