Job Summary
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This pivotal role involves overseeing administrative functions, managing vendor relationships, coordinating schedules, and ensuring a smooth workflow across departments. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a proactive approach to problem-solving. As an Office Manager, you will foster a positive work atmosphere, support team development, and ensure that office procedures align with company standards. Your leadership will be instrumental in maintaining efficiency, enhancing productivity, and supporting the overall success of our organization.
Duties
- Manage daily office operations, including front desk activities and multi-line phone systems to ensure seamless communication.
- Oversee scheduling management for meetings, appointments, and company events to optimize time utilization.
- Supervise administrative staff and coordinate training & development initiatives to enhance team performance.
- Handle vendor management by negotiating contracts, processing invoices, and maintaining supplier relationships.
- Maintain accurate bookkeeping records, including payroll processing using QuickBooks and other financial documentation.
- Support human resources functions such as onboarding new employees, managing personnel files, and assisting with employee relations.
- Organize company events and meetings through event planning expertise to promote team engagement and morale.
- Oversee budgeting processes and monitor office expenses to ensure financial efficiency.
- Manage filing systems, record keeping, and document management for easy retrieval and compliance purposes.
- Ensure excellent phone etiquette and professional communication at all times to uphold the company's reputation.
Skills
- Proven experience in office management or administrative roles with strong clerical skills.
- Supervising experience with the ability to lead a diverse team effectively.
- Proficiency in QuickBooks for bookkeeping and payroll processing.
- Excellent organizational skills with the ability to manage multiple priorities simultaneously.
- Strong communication skills—both verbal and written—to facilitate clear interactions across teams and vendors.
- Expertise in event planning, calendar management, and schedule coordination.
- Knowledge of human resources practices including onboarding, training & development, and employee relations.
- Experience with medical office management or similar environments is a plus.
- Familiarity with front desk operations, multi-line phone systems, filing systems, and office software tools.
- Ability to handle vendor negotiations and maintain professional relationships efficiently.
