    SUPERVISOR: Human Resource Manager HOURS: M-F 8-5, must be flexible

    CLASSIFICATION: Full Time/ Hourly/Non-Exempt

    PRIMARY LOCATION: Lombard Street

    (hybrid remote work possible after probationary period or at discretion of supervisor)

    QUALIFICATIONS/REQUIREMENTS:
    • Bachelor's degree in Human Resources, Human Services or other related degree preferred
    • Minimum of 3 years Human Resources experience
    • Benefits administration experience required
    • Leave of Absence (LOA) experience required
    • Payroll experience strongly preferred
    • Strong ability to present information and describe process(es) and procedures to those seeking LOA support and benefit information required
    • Commitment to maintaining high ethical standards and confidentiality for all Human Resource functions of JRCHC (Jericho Road Community Health Center)
    JOB SUMMARY: The Leaves Specialist will have three primary responsibilities; Leave of Absence (LOA) Management, Benefit Administration and Payroll. This individual should possess the ability to function well autonomously for key functions and within a team to improve process improvement and overall HR service delivery. The Leaves Specialist will be required to provide an elevated level of customer service to staff members by processing benefits, leaves of absence and benefit enrollments. Their role in managing payroll changes and bi-weekly payroll processing in collaboration with the Finance team is critical. Working under the direction of the HR (Human Resources) Manager, the Leaves Specialist will have a working knowledge of the various leaves of absences, possess the ability to describe a leave and leave requirements, how to operate within the ADP Payroll system, and Excel spreadsheets to record, process and balance information.

    Must be able to engage in creative HR process improvement and have the creative ability to work on other projects as assigned by supervisor or HR Leadership.

    Essential Job Duties

    BENEFITS & LEAVES OF ABSENCE (80% OF ROLE)

    BENEFITS
    • Support benefit administration through electronic support systems, troubleshooting, and facilitation of plan changes
    • Attend trainings and educational opportunities to remain current in best practices
    • Participate in bi-weekly new hire orientation by communicating benefit offerings to new employees
    • Communicate with staff during open enrollment to ensure smooth transition and enrollment for staff
    • Serve as a member of the Wellness Committee to engage employees, increase events, and facilitate participation in initiatives
    • Provide support during annual events, fundraisers, and staff events
    • Support the HR Manager and HR department in creating efficiencies in processes
    • Coordinate benefits processing, COBRA (Consolidated Omnibus Budget Reconciliation Act), terminations, Qualified Life Events
    • Performs quality checks of benefits-related data
    • Assists employees regarding benefits questions and plan changes
    • 403b, enrollments, coordinates quarterly meetings
    LEAVES OF ABSENCE
    • Process claims for Disability, PFL, FMLA (Family and Medical Leave Act), Workers Comp and reasonable accommodations
    • Communicates with employees regarding their needs for leave and/or modified work schedules. Ensures that employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave.
    • Handles the leave administration process from the employee's initial notice of the need for leave to the return to work. In conjunction with the HR assistant, this includes gathering and completing all required paperwork, determining leave eligibility, and accounting for intermittent and reduced schedule leave use.
    • Maintains reasonable communication with employees on leave to facilitate smooth and timely return to work; relays communication between employees and their managers during leave within reason.
    • Oversees the return-to-work process for employees returning from extended FMLA, workers compensation, or other leave(s).
    • Administers other company time-off programs as assigned in accordance with internal policy and applicable laws.
    • Maintains complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices.
    • Preserves confidentiality of employee medical documentation and files.
    • Maintains knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws
    PAYROLL (20% OF ROLE)
    • Provide support between Finance and HR for payroll changes, payroll mapping and processing
    • Support HR aspects of payroll administration in coordination with Finance Department
    • Attend training and educational opportunities to remain current in ADP solutions and other required or recommended training
    • Run ad hoc and routine reports as needed through ADP
    • Maintain balances for each employee for PTO, vacation, and sick leave records
    • Work with Supervisors to ensure accurate balances and information for each employee
    • Process payrolls change notices which document raises, title changes, etc.
    PHYSICAL REQUIREMENTS: Must be able to sit or stand for extended periods of time. Exert up to 50lbs. pushing, pulling, or lifting. Walking and climbing stairs required. Able to talk/hear and communicate with others with or without reasonable accommodation.

    TRAVEL REQUIREMENTS: Must be able to travel to and between sites while maintaining standards of safety and compliance with motor vehicle traffic laws. This position may require travel for necessary training and conferences.
