Job Summary

We are seeking a professional and organized evening-Saturday Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, manage administrative tasks efficiently, and support office operations. This role requires excellent communication skills, strong organizational abilities, and proficiency with office software. Bilingual skills are a plus to assist diverse client needs. The Receptionist will play a vital role in maintaining a welcoming environment and ensuring smooth daily operations within our office setting.

Responsibilities

  • Greet visitors and clients in a friendly, professional manner at the front desk
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Familiarity with Excel workbook reports.
  • Perform data entry, filing, and maintain accurate records using various office management software including Microsoft when applicable
  • Handle incoming and outgoing correspondence.
  • Assist with administrative tasks and support bookkeeping activities.
  • Support customer service efforts by providing information and resolving basic inquiries efficiently
  • Maintain an organized reception area to ensure a professional appearance at all times
  • Support other administrative duties such as typing reports, supporting personal assistant tasks.

Qualifications

  • Proven experience in office management, clerical roles, or as a receptionist; medical or dental receptionist experience is a plus
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Familiarity with multi-line phone systems and phone etiquette best practices
  • Experience with bookkeeping is desirable
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong customer service orientation with professional communication skills; bilingual abilities are advantageous
  • Attention to detail for proofreading documents and managing schedules accurately
  • Ability to handle multiple responsibilities efficiently in a fast-paced environment
  • Previous experience in customer support or administrative roles preferred
