    Description

    Under the direction and supervision of the Municipal Court Administrator, this position performs and completes routine clerical and customer service functions. This is accomplished by answering the phone and greeting customers, responding to inquiries, processing records, posting and recording payments and bonds, maintaining records, filing, and preparing documents and court dockets. Performs duties as the courtroom clerk when assigned. Assists with maintaining court docket disposition records and trial docket records. Keeps Court Administrator informed of all matters that affect the operations of the Municipal Court. Provides coverage for court office in the absence of the Court Administrator. Other duties include providing information to personnel and outside agencies.

    Examples of Duties
    • Provides professional and courteous customer service both in person and over the phone.
    • Processes mail (physical and electronic).
    • Accurately posts all collected revenue which includes fine/costs/fee payments and bonds.
    • Processes end of day close out procedures including preparing deposit.
    • Reviews, imports and processes citations and incident filings.
    • Assists with coordination of court trials, which includes pre-trials, bench trials, jury trials, showcause, property hearings and animal seizure hearings.
    • Performs courtroom clerk duties when assigned (i.e. docket call, docket prep, check-in, receive documents, verifications, etc.).
    • Prepares and reviews material and information for the Municipal Judge and Prosecutor to ensure accuracy and proper routing.
    • Assists with juvenile case record processing and management.
    • Reviews and audits daily due cases to maintain efficient case management and timely status updates.
    • Accurately files and scans records.
    • Generates court notices and summons as directed.
    • Assists with processing attorney requests, communications, and correspondence.
    • Makes warrant information and appearance reminder calls based on notification schedule.
    • Accurately enters and retrieves data.
    • Understands, interprets, and applies pertinent Federal, State, and Local Laws, Codes, and Regulations as necessary.
    • Demonstrates knowledge of the geography of the town and the surrounding vicinity as it relates to territorial limits for violations.
    • Contributes to maintaining a professional, positive, and productive work environment (i.e., quality customer service, being a team player, offering effective and efficient ideas to improve operations).
    • All other duties as assigned.

    Minimum Qualifications

    Education and Experience:
    • High School Diploma or equivalent.
    • Two years of court clerk experience including court docket preparation and docket session experience.
    • Two years cash handling experience that includes receiving and giving money in a business environment.
    • Three years of clerical experience in a customer service environment; or an equivalent combination of education and experience including cash handling will be considered.
    License and Certification Requirements:
    • Must possess and maintain a valid Class C Driver License.
    • Must currently possess and maintain a Level II certification issued through Texas Court Clerks Certification Program.
    Required Knowledge of:
    • General office practices and equipment.
    • Methods, procedures, and standards for maintaining court and payment records.
    • Efficient and effective customer service methods and standards.
    Required Skill in:
    • Effectively communicating, both verbally and in writing, with the public and coworkers.
    • The use of standard software programs and office equipment.
    • Taking initiative to complete projects independently and working with a team.
    • Abiding by municipal organization, operations, policies, and procedures.
    • Analyzing information thoroughly and producing efficient and effective results.
    • Using and understanding the Texas Criminal and Traffic Law Manual.
    Supplemental Information

    PHYSICAL DEMANDS AND WORKING ENVIRONMENT: Work is performed indoors in an office setting. Work is sedentary, requiring the ability to remain in a stationary position most of the time. Ability to operate a computer and other office productivity machinery is required. Repetitive finger movement, repetitive twisting or pressure involving wrists or hands is required. Work performed may occasionally cause fatigue of eyes and fingers because of continuous use of motor senses and using automated office systems. Frequently communicates with court customers who may be extremely angry, residents or coworkers and must be able to exchange accurate information in these situations. Occasionally moves about inside the office to access file cabinets, office machinery, and handle office materials (up to 40 pounds).
