    Description

    Sales Coordinator and Analyst Essential Functions & Responsibilities:

    • Point of contact for all local, negotiated business transient customers to personally attend to their reservations, special requests, manage Tarrytown House Rewards program.
    • Attend Chamber of Commerce, Westchester Travel and Tour Council, and Westchester Business counsel.
    • Act as Liaison between Sales Manager(s) and clients in Sales Manager's absence. Take booking inquiry information via phone and prepare proper paperwork.
    • Uses various computer word processing and other software packages to enter data, produce contracts, correspondence, forms, and other documents.
    • Answer telephone and respond to caller inquiries speaking in a clear and pleasant manner. Exercise decision making skills to direct caller's request.
    • Distribute documents to appropriate persons and locations to ensure prompt processing of time sensitive information by hotel and supplier staff.
    • Handle individual reservations and amenity forms for VIP clients. Ensure that all arrangements, including upgrades, are handled properly, coordinating with other departments through oral and written instruction.
    • Organize, file, and retrieve documents in appropriate binders to maintain essential records used in the department operation.
    • Complete all rooms and catering forecasts for approval.
    • Assist with sales and catering contracts, administrative tasks when needed i.e., performs typing, faxing, copying, and shipping functions for department.
    • Perform any other job-related duties as assigned.
    • Develop & implement SMART plans monthly.
    • Assist with sending information to guests that inquire.
    • Be the gatekeeper providing the DOSM updates related to P & Ts past due decision dates weekly and ensure that updates are confirmed and resolved. The DOSM is still responsible for execution.
    • Ensure all Delphi data input is in correct format to ensure email blasts, phone blitzes, and promotional mailers go to the proper addresses.
