    Description
    General Summary of Position
    Preps documents for scanning, remove staples and paper-clips. Sorts document by type for scanning. Operates high-speed scanning equipment by loading documents into scanner and conducts real-time quality control of images being scanned. Makes real time corrections. Responsible for quality assurance and data entry of digital information. Verifies documents by entering data into the computer using custom software. Reviews documents, verifies indexed values for accuracy, researches ScerIS programs for correct indexes and makes the appropriate corrections on images. Participates in maintaining records management products such as charge and payment batches. Develops and maintains records management spreadsheets to track, and control records management data and documents. Provides basic administrative tasks to support operations in records management.

    Primary Duties and Responsibilities
  • Adheres to assigned work schedule, and participates in maintaining a clean and safe work environment.
  • Converts all types of documents to Tiff and PDF file formats and archive to digital format using high-resolution scanners with a high attention to detail and accuracy.
  • Exemplifies Guest and Staff Relations standards in all activities in areas of service, resource utilization, high quality outcomes and effective communication.
  • Interacts with team members on matters affecting data to ensure high standards in data entry are met and data is retrievable.
  • Participates in educational activities appropriate to position.
  • Performs computerized indexing and data entry by batch, group, invoice, EMPI, and/or medical record number. Pairs electronically transmitted data with paper documentation.
  • Performs data verification routines in accordance with company procedures and customer requirements.
  • Performs final quality control review of data before archiving data to the ScerIS Data base.
  • Prepares all type of documents for imaging; ensures documents are free of debris (staples, paper clips, clamps, etc). Ensures documents are prepared to be scanned as quality images.
  • Pulls and files records, verifies alphabetical or numerical order and ensuring they are retrievable. Stores records by type, indicates appropriate data on spreadsheets (record file numbers and other identifiers) and retires boxes to file rooms and or storage areas.
  • Reviews discrepancies in data received, Researches solutions in ScerIS to confirm clarification of data. Alerts team lead or manager of issues related to data or index values that are unresolved.
  • Sorts all types of documents for scanning documents / batches into the appropriate folders in Anydoc.
  • Supports short-term and long-term high-volume document archiving.
  • Troubleshoots and offers suggestions to manager that will assist in decision making to improve document imaging processing.
  • Contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality standards and safety standards. Complies with governmental and accreditation regulations.
  • Participates in multidisciplinary quality and service improvement teams as appropriate. Participates in meetings, serves on committees and represents the department and hospital/facility in community outreach efforts as appropriate.

    Minimum Qualifications
    Education
    • High School Diploma or GED required or
    • equivalent. required

    Experience
    • 1-2 years In a business office environment with hands on computer required and

    Knowledge, Skills, and Abilities
    • Basic computer keyboarding skills.
    • Excellent filing skills.
    • Ability to examine documents for accuracy and completeness.
    • Ability to prepare documents in accordance with detailed instructions.
    • Ability to use calculator.
    • Ability to work and thrive in team oriented, production and deadline driven work environment.
    • Must have good hand-eye coordination and data entry skills.
    • Ability to remain flexible and calm in stressful situations and follow instructions of established procedures.
    • Capable of performing repetitive tasks, while maintaining a high level of accuracy.
    • Verbal and written communication skills.
    • Basic computer skills preferred.
