- First Line of Contact with Customers, Vendors and Visitors:
- Receiving and greeting clients, guests, and visitors, fostering a positive and welcoming environment.
- Provides visitors with directions or accompanies them to their destination.
- Maintain a clean and organized front reception area.
- Enforces access compliance utilizing check in kiosk documentation and notification system.
- Office Support:
- Retrieves PO Box mail, sorts and distributes incoming mail and deliveries.
- Manages postage meter and prepares outgoing mail, courier, and UPS pickups.
- Maintains Associate directory and mailboxes.
- Conference room management: Handle reservations, set-ups, catering arrangements, and maintenance of conference room appearance.
- Assist with email management of additional shared inboxes.
- Office supply procurement.
- Ensure the office is organized, stocked and fully functional at all times.
- Perform additional administrative support duties as necessary, managing tasks independently and demonstrating accountability and reliability in all responsibilities.
- High school diploma or equivalent is required.
- Proficiency in Outlook.
- 1-2+ years of administrative/hospitality experience preferably in the corporate setting.
- Must be willing to learn new software applications.
- Knack for hospitality, customer-service oriented attitude.
- Strong communication skills, attention to detail, and organizational skills.
- Positive attitude with an eagerness to learn and help out.
- Comfortable working independently.
- Professional and friendly demeanor.
- Other requirements: Must be able to satisfactorily pass a criminal background check and drug screen.
- Physical demands: This role involves frequent movement throughout the office space to ensure organization and restocking levels are maintained.
