    THE ROLE

    The Purchasing Coordinator supports the Purchasing Manager in ensuring materials are ordered accurately, confirmed promptly, and delivered on time to meet installation schedules. This role combines hands-on purchasing execution with increasing responsibility in data accuracy, vendor performance tracking, and process improvement as automation expands.

    This position is ideal for someone who is organized, analytical, calm under pressure, and interested in growing beyond transactional work into a more strategic purchasing support role.

    RESPONSIBILITIES

    • Create and place purchase orders through vendor e-commerce portals and email.
    • Prioritize time-sensitive, hot, and repair orders.
    • Ensure purchase orders include correct delivery dates, locations, quantities, and vendor-specific requirements.
    • Verify vendor confirmations, promised delivery dates, and reference numbers.
    • Track open orders, late deliveries, missing promise dates, and long-open will-call orders.
    • Proactively identify potential install delays and take appropriate follow-up actions.
    • Communicate with vendors to resolve shortages, damages, incorrect shipments, and delivery delays.
    • Support the vendor claims process and track resolution.
    • Escalate recurring or high-impact vendor issues as appropriate.
    • Maintain accurate purchasing data within the ERP system.
    • Review purchasing and open-order reports to identify issues and trends.
    • Assist with vendor performance tracking, cost analysis, and purchasing process improvements.
    • Participate in automation and workflow improvement initiatives.
    • Review automated process outputs and suggest opportunities for new automation

    IDEAL QUALIFICATIONS

    • Strong organizational skills and attention to detail.
    • Ability to prioritize and adapt in a fast-paced environment.
    • Calm and professional demeanor under pressure.
    • Clear and effective written and verbal communication skills.
    • Strong Excel skills (lookups, tables, pivot tables, data manipulation).
    • Comfort learning ERP systems, vendor portals, and new technologies.
    • Analytical mindset with interest in process improvement.

    EDUCATION & EXPERIENCE

    Prior experience in purchasing, supply chain, construction, or building materials is helpful but not required. An analytical or business-oriented educational background is preferred. Willingness to learn, adaptability, and accountability are more important than direct experience.

    ROLE GROWTH AND EVOLUTION

    As automation and AI tools are implemented, this role is expected to evolve away from manual data entry toward exception management, analytics, vendor performance insights, and process optimization. The Purchasing Assistant is expected to actively participate in and support this evolution.
