    JOB SUMMARY
    The position of El Retiro Assistant is to support the Collections Manager with daily operations including, but not limited to, Volunteer Management/Scheduling and Collections Care. The main responsibility of the El Retiro Assistant will be to represent the Collections Manager in her absence.
    PRIMARY DUTIES & RESPONSIBILITIES

    • Provide daily direction to a core of volunteer El Retiro Guides amidst a high level of activity and varying personalities. Act as an El Retiro Guide as needed.
    • Perform daily tasks such as volunteer sign-in procedures and room assignments; telephone answering; contacting on-call volunteers and scheduling; selling and recording ticket sales; continuous monitoring of guests and volunteers; alertness to safety issues and ability to adhere to safety procedures; operate Bok Tower Gardens communication radios; knowledge of wheelchair procedures; provide special event support as needed.
    • Provide a watchful eye on collections and alert Collections Manager of any issues regarding the house and/or collections.
    • Assist in maintaining collection inventory and writing condition reports, and
    • Assist with the preservation of collections by providing housekeeping as needed such as dusting objects, cobwebs, sweeping up debris, vacuuming of floors and textiles, cleaning windows.
    • Ability to assist with El Retiro training for volunteers and staff
    • Ability to respond effectively to guest inquiries, comments, and complaints in a calm and courteous manner.
    • Ability to manage guest flow and crowd movement to ensure safety, accessibility, and a positive visitor experience.
    • Ability to maintain a working knowledge of the garden and its operation
    • Assistance with hurricane preparations.
    • Assist?with basic data collection as directed by the Collections Manager.
    • Ability to stand for long periods of time, climb stairs, and use a ladder.
    • Availability to work on a flexible schedule according to operational needs including weekends and holidays.
    Requirements
    EDUCATION:
    • High School Diploma equivalent
    KNOWLEDGE, SKILLS & ABILITIES
    • Excellent oral and written communication skills and interpersonal skills, including effective presentation, negotiation, and problem-solving skills.
    • Experience Managing Volunteers preferred
    • Organized and detail-oriented; able to work independently and on a team, meet deadlines, administer budget, maintain accurate records, and produce timely reports
    • Self-starting, creative, goal-oriented team player; ability to work with a diversity of staff, volunteers, and public audiences.
    • Ability to work on a flexible schedule; weekend and evening work required an Excellent customer service and hospitality skills.
    • Ability to lift and carry up to 25 lbs.

    Employment is contingent upon successful completion of background screening, drug testing, and credit check, as applicable.
