    ESSENTIAL DUTIES AND RESPONSIBILITIES

    Under the general supervision of the Associate Director, the Program Manager of Home Delivered Meals is responsible for managing the overall administration of Home Delivered Meals (HDML) / Meals on Wheels (MOW) satellite operations. Also, the Program Manager is responsible for coordinating services with designated Case Management agencies. Specific duties and responsibilities include :

    Supervise homebound meal operations at the HDML main site location under the direction of the Director and Associate Director

    In conjunction with the Director and Associate Director, supervise and develop tools and systems for needed program documentation as it relates to preparing for audits and inspections

    Address the needs of our older adults, including inquiries and/or concerns/complaints in a timely and sensitive manner

    Maintain and track employee attendance records; approve daily timecards

    Coordinate route coverage with the Fleet Manager or Associate Director as needed

    Assist in preparing contribution letters, count and record contribution receipts with assigned staff

    Collaborate with program directors on program planning, development, and improvement

    Develop and maintain home-delivered meals route sheets; monitor and adjust routes to ensure the delivery of meals according to program and funding source guidelines

    Manage and ensure accurate and timely unit entry of delivered meals into the funding source database to efficiently and accurately submit unit charts to the Director for invoicing to funders

    Report daily delivery information and coordination of client services with case management staff; including trends, issues, and resolutions with program delivery services.

    Maintain client files with updated documentation of all client contact, case coordination, service changes, and case management communication regarding client status or concerns

    Prepare contribution letters, count and record contribution receipts with assigned staff

    Collaborate with program directors on program planning, development, and improvement

    Assist in all procurement-related activities such as ordering and receiving meals, documenting inventory, and tracking changes to client schedules, service changes, and or diet types

    Assist in inventory control and purchasing of supplies as needed

    Track site spending and program budgets, In conjunction with the Director and Associate Director

    Oversee site staff including providing mentorship, guidance, and performance management

    Implement team-building initiatives, lead training and meetings, and create a positive and safe work environment

    Assist with critical planning to ensure efficient meal delivery to clients i.e. emergency circumstances, holidays, etc.

    Oversee the completion of necessary compliance standards as designated by the funders DFTA and City Meals on Wheels (CMOW) i.e. monthly test meals, incident logs, complaint logs, client surveys, etc.

    Coordinate with field drivers and delivery persons to problem-solve issues or emergencies and step in as needed

    Coordinate with the Fleet Manager to ensure vehicles are accurately reported, maintained, and compliant with RiseBoro and funding source standards

    Ensure staff follow the necessary RiseBoro program protocols and policies; consult with the Director and Associate Director on any employee issues of concern or that may require disciplinary action

    Provide coverage as needed i.e. driver, delivery person, etc.

    Assist in preparation of documentation needed for clients i.e. new client packets, menus, etc.

    Other related duties as required by the Associate Director and the Division Leadership Team

    COMPETENCIES

    Demonstrated ability to work with and show genuine concern for the physical, mental, and emotional needs of the elderly population

    Demonstrated supervisory experience

    Demonstrated experience working with Home Delivered Meals, or a related program preferred

    Ability to walk distances, climb stairs , bend, lift, and carry a minimum weight of 25lbs

    Bilingual English/Spanish preferred

    Ability to multitask, manage time effectively and work well in a fast-paced/busy environment

    Ability to think and react quickly, use sound judgment, and problem-solve as needed

    Ability to work independently and collaboratively

    Excellent organizational skills with attention to detail

    A creative self-starter with a positive attitude and the ability to maintain positive relationships

    Reliable, flexible, and adaptable; shift changes in the event of an emergency or unanticipated programmatic need

    Valid driver's license class D or E or commercial license class A or B and be a licensed driver for at least 2 years preferred; no more than one (1) moving violation in the past 24 months on driving record

    Proficiency in Microsoft Office Suite required, particularly Excel; database maintenance experience preferred

    Demonstrated experience in auto mechanics i.e., general maintenance and repair: tire changes, battery, engine, etc. preferred

    EDUCATION and EXPERIENCE

    High School Diploma or equivalent with a minimum of five (5) years of Home Delivered Meals experience, social service experience, or experience in the aging field

    Associates degree with a minimum of two (2) years of Home Delivered Meals experience or social service experience

    Bachelor's degree with a minimum of one (1) year of Home Delivered Meals or social service experience

    Any combination equivalent to education and experience that provides the required knowledge and skills may be considered qualifying
