    Position Focus:


    The Associate Director, Academic and Administrative Affairs for the Integrated Business Office (IBO), supporting the Departments of Surgery, Anesthesiology, Ophthalmology, Emergency Medicine, and Orthopedics will report directly to and collaborate extensively and strategically with the IBO Senior Director/Vice-Chair of Finance and Administration, Department Leadership, Faculty and Staff, Yale School of Medicine (YSM) and Institutional offices.

    The position will be part of the IBO leadership team and provide leadership on important projects departmentally and in YSM.

    The position serves as the strategic academic and administrative partner to the department leadership.


    This position serves as the key administrative leader in HR and administrative functions and is responsible for standardizing the hiring, onboarding, training, policies, procedures, and employee issues.

    Serves as the point person for departmental HR issues and provides solutions and recommendations related to employee-related issues and ensures compliance with department and university policies and procedures.

    Supports Departments with HR policies, procedures, and contractual obligations. Works in close collaboration and consultation with Yale School of Medicine Human Resource Generalist (HRG) assigned to the IBO. Coordinates with central Yale University and Yale School of Medicine HRG as appropriate.

    Working in concert with the executive and senior management teams, the Associate Director conceptualizes, plans, and directs effective and innovative procedures and protocols for academic and administrative affairs, including program development, information systems, staff administration, staff training and development, facilities management, office space planning and regulatory compliance.


    Strategic Partner:

    Achievement of the unit's mission and goals by working in close partnership with the unit leader, faculty, staff, students and service providers to develop and implement the unit's strategy.

    Understands and monitors external and internal factors influencing the unit's mission and goals. Plans for financial and non-financial resources required for the unit to achieve its goals. Supports, and when necessary drives, the unit's process for strategic planning with key faculty and staff. 2.


    University Citizen:

    Connect the unit and University through communication, alignment of priorities, implementation of initiatives, and active engagement on University administrative priorities.

    Effectively represents unit needs, challenges, and opportunities at the University level. Proactively shares knowledge and best practices with others. 3.


    Risk Management Administrator:

    Implement and maintain strong internal controls to provide reasonable assurance of effective and appropriate resource use, adherence to contractual obligations and agreements, policies, procedures, and external regulatory requirements.

    Identify, communicate, address and escalate risks in a timely and appropriate manner to protect the assets, resources, information and reputation of the department and the University.

    Talent Manager and Developer:

    Ensure the Unit employs effective practices for retaining, attracting and developing talent in line with University guidelines and contractual agreements.

    Ensure that all department staff participate in the University's performance management and career development processes. Cultivate a diversity of backgrounds and perspectives in the department. Assure that the department follows appropriate School and University policies and procedures related to Human Resources. 5.


    Academic and Administrative Services Leader:
    Ensure efficient and effective completion of all academic and administrative services provided to the department.

    Ensure high quality delivery of administrative services by providers outside the department, including human resources, information technology, procurement, student services, post-doctoral affairs and faculty affairs.

    Responsible for building and managing a team of high-performance administrative and financial professionals.
    Required Education and Experience

    • Bachelor's degree and 8 years progressive responsibility and experience four of which are in a leadership role or an equivalent combination of education and experience. 2. Demonstrated experience with complex strategic planning and resource allocation. 3. Demonstrated experience in managing relationships and influencing outcomes.

    Required Skill/Ability 1:


    Demonstrated possession of sound independent judgment, intuition, and common sense with excellent attention to detail and ability to prioritize and handle many tasks and priorities simultaneously in a complex, fast paced academic and administrative environment.


    Required Skill/Ability 2:


    Superior interpersonal skills and the ability to interact with faculty, staff, students, patients, and administrators at all levels in a highly professional demeanor with excellent customer service skills.

    Negotiate skillfully with internal and external constituents and deal with complex issues and sensitive situations that require confidentiality and discretion.


    Required Skill/Ability 3:


    Excellent oral and written communication skills necessary to effectively deal with individuals both inside and outside the organization from diverse backgrounds.

    Ability to adapt communication style to address the needs of individuals at all levels throughout the university.

    Required Skill/Ability 4:


    Demonstrated success in developing people and organizations and ability to manage people on a day-to-day basis and inspire a high level of commitment and performance.


    Required Skill/Ability 5:
    Well-developed decision-making, planning, organizational, problem-resolution and leadership skills. Strong computer skills including Microsoft Excel, Outlook, and Word.
