- Responsible for monitoring general ledger department activities and task scheduling.
- Assist in the review of the monthly general ledgers and financial statements.
- Assist in resolving outstanding issues for general ledger accountants to complete their financials.
- Prepare journal entries and Excel schedules for accruals and prepaid accounts.
- Prepare monthly HOA financial statements, supporting amortization, and prepaid documentation.
- Prepare bank account reconciliations and supporting documentation.
- Reconcile accounts receivable deposits on bank statements.
- Review accounts payable invoices for accuracy.
- Research any accounts payable or accounts receivable discrepancies.
- Process, review and analyze large variables within budgets.
- Prepare year end CPA audit packets and purge files.
- Oversee maintenance of general ledger filing.
- Perform more complicated account analysis or more difficult collections/legal procedures.
- Verify processes and forms are compliant with Federal, State and Local laws.
- Ensure financial records are maintained in compliance with NRS and GAAP.
- Determine software/system needs and abilities and ensure department is technologically up to date.
- Meet with homeowners, managers and staff as needed in order to discuss and resolve issues.
- Assist in resolving manager and board member questions regarding financial statements
- Return phone calls, e-mails and faxes before the end of the business day, even if only to acknowledge receipt but with an indication of when a substantive response can be expected.
- Report statistical and financial information to senior management as required.
- Develop and maintain "operations manuals" for each position sufficiently detailed that a temporary worker could carry out the same responsibilities in an extended absence
- Cross-train employees so that there are at least two people who can perform each function.
- Supervise the work of department employees; hire with approval of Executive Team, evaluate performance, coach, discipline, and recommend termination.
- Oversee the training of new & existing employees.
- Monitor the workload of employees and recommend process improvements that will save time/money.
- Maintain department scheduling. Approve vacations and time off ensuring that functions are covered at all times and work will not be delayed due to employee's absence.
- Perform all other job requests as assigned by management.
- Substantial homeowner's association management industry knowledge.
- Bankruptcy experience.
- Minimum of 2 years supervisory experience (supervising 5+ employees).
- Ability to understand and develop departmental procedures for workflow organization and structure.
- Ability to review employee work quality and volume and develop measures to motivate and improve in both areas.
- Exceptional written and verbal communication skills.
- Ability to handle multiple projects, establish priorities, and complete tasks within precise timeframes.
- Ability to promote the company's services to the company's current or prospective customers in a professional manner.
- Ability to identify areas of opportunity for the department by providing additional services or additional profit opportunities for the company.
