    Job Summary:

    Manage the day-to-day activities of Margaret Mary Health Oncology Services practices (Medical Oncology & Radiation Oncology) including those services that are embedded within the practice (Oncology pharmacy, Social

    Worker, etc.). Establish & maintain a strong working relationship with the Oncology providers & any internal/external stakeholders.

    Supervisory Responsibilities: Oversees Oncology & Radiation staff

    Duties/Responsibilities:
    • Directs & coordinates all activities within the physician offices.
    • Develops & maintains operational & capital expenditure budgets including timely explanation & corrective action plans to resolve budget variances.
    • Monitors the status of patient billing, collections & days outstanding in accounts receivable including timely explanation as required by the CFO.
    • Reviews reports & financials with the Director.
    • Schedules team members to optimize patient volumes & physician availability.
    • Ensure adequate office supplies are available.
    • Promotes customer service focus & conducts patient satisfaction surveys.
    • Embraces & supports customer service goals & standards.
    • Ensures that department team members understand the customers' needs & provide courteous individualized attention to customers, visitors, community members, & fellow team members.
    • Conducts annual team member performance evaluations (this includes active coaching & development of team members) & obtains physician input for team member evaluations.
    • Develops & administers departmental policies & procedures.
    • Enforces & administers Human Resources & departmental policies.
    • Maintains safe & secure work & patient care environment.
    • Provides regular training/education to ensure optimal performance of team members.
    • In collaboration with Medical Staff Coordinator & Director ensure proper credentialing & onboarding are completed.
    • Maintains referral tracking procedure & completes annual report of referral patterns.
    • Provides oversight of ancillary services within Oncology such as pharmacy, social services, dietary while also maintaining a strong dotted line to those main departments within the organization.
    • Communicates honestly & effectively with others & improves the work environment in which he/she influences team members in a positive way & they feel valued & respected.
    • Initiates all hiring, training, development, disciplinary action & termination of all department team members.
    • Develop strategies to improve the performance, effectiveness & morale of the department team members.
    • Actively & positively involved in inter & intra departmental programs, projects, teams & processes that benefit their & other department(s).
    • Optimizes EHR/billing system efficiencies in office.
    • Facilitates communication between departments, units & physicians to eliminate silos & fragmentation.
    • Conducts staff meetings monthly.
    • Meets individually with each physician monthly.
    • Develops & maintains strong communication & relationships with visiting physicians & the administrators from that parent organization (ex: TCH Oncology).
    • Monitor's physician's medical record completion.
    • Coordinates, participates & implements necessary changes from practice audits.
    • Ensures accurate & timely processing of payroll information.
    • Oversees maintenance & documentation of office charts/forms.
    • Develops & implements standard office procedures.
    • Documents team member performance according to policy.
    • Conducts & documents PI activities.
    • Completes management reports & special projects assigned.
    • Maintains compliance with all regulatory & industry changes.
    • Develops master patient list for all practices.
    • Ensures Billing Specialists are up-to-date on proper diagnostic coding to maximize reimbursement.
    • Develops annual goals for the office practices that are in keeping with the hospital's mission, vision, values & strategic direction.
    • Identify barriers to care & propose plans for improvement.
    • Participates in CoC meetings & planning in collaboration with Registrar & Director.
    • Actively participates in clinical analyst meetings addressing EMR concerns & facilitates communication of changes directly related to EHR.

    Education and Experience:
    • Bachelor of Science Degree in Nursing.
    • Licensed Registered Nurse by the Indiana State Board of Nursing.
    • Minimum five (5) years of experience in nursing, with at least three (3) years in Oncology preferred.
    Physical Requirements:
    • Work requires moderate physical effort with sitting, standing, walking, climbing, lifting, & reaching throughout the day.
    Ability to lift up to 20 pounds for transport of general supplies
