    Fleet Operations Coordinator - Houston, United States - Webber

    Position SummaryThe role will support the Fleet Operations team in a variety of tasks, providing both internal and external customer support to the business.

    Primary Duties and ResponsibilitiesMaintain companywide fleet inventory across various systems of recordPartner with various internal departments (i.e. insurance, legal, projects sites, bidding), for an assortment of documentation requests, fleet information and other company Create and manage comparative charts, purchase orders, and any necessary company requirements for payment to vendors through company processing systemsDaily tracking of new fleet purchases, vendor transactions, registration, and temporary tagsSuccessfully engage with fleet management company, including request from all vendors, related to new and pending purchases, billing, approvals, case tracking, accidents and subrogation, maintenance and repairs, toll tags, registration renewal pre-requisites; essentially the day-to-day tasks involving FMC relationship.
    Support and respond to the companywide project requests (i.e. vehicle registrations/titles, fuel card requests, employee fuel pins, and other forms of record/documentation) and all fleet needs at project levelDevelop and run operational reports Monitoring and analyzing fleet data to identify opportunities for improvementCorresponds frequently with companywide project managers, including leadership, with regards to all projects fleet and equipment needs, submitted orders, inventory numbers, deliveries, and potential concerns/discrepancies.

    Knowledge with use of Excel to track and maintain various reports (maintaining spreadsheets across multiple sites)Ability to maintain focus and service through demanding prioritiesAbility to remain agile and organized when managing various competing prioritiesKnowledge in fleet industry operations (i.e.

    working with fleet and like construction equipment/ materials (i.e.

    trucks, tools, chemicals, and materials) Excellent follow-through with tasks and communicationStrong background in strategies and techniquesAbility to provide timely responses, with an organized customer service attitudeEducation and Experience2+ years' experience in related positionBachelor's degree preferred (but not required)Experience with ERP systems, highly preferredExperience working with a fleet management company, highly preferred (i.e.

    Element, ARI)Knowledge/experience with related fleet operations, preferred (i.e. construction equipment/ trucks, large size road vehicles, tools and other industrial style materials)Work Conditions/Physical DemandsMust be able to remain in a seated stationary position 50% of the time or more5% overnight travel to project sites if requestedMust be able to operate basic office equipment such as keyboard, computer, scanner/printer, use of phone, etc.
