    Position Summary :


    Under the direction of the Director of Member Services, this position is responsible for coordinating the daily transportation of Watts Healthcare (WHCC) new patients and members, by receiving incoming pick-up calls, making outgoing calls and maintaining the daily list of cancellation reasons.

    This position also coordinates transportation request forms with transportation vendors (e.g. Taxi, Uber Health etc.) and/or WHCC's transportation department.

    Essential Functions:


    Receives incoming pick-up calls; makes outgoing calls to members to alert them of driver's arrival time, and maintains daily list of cancellations, noting reasons for cancellation.

    Dispatches vehicles for the transportation needs of WHCC patients to and from their designated medical centers and other locations.
    Coordinates and schedules WHCC members for transportation services (from scheduled destinations) to their primary care providers.
    Ensures a smooth delivery of transportation service by problem solving and coordinating with WHCC drivers and/or contracted vendor designee.

    Coordinates with clinic staff for transporting members to and from their home or preferred locations to various WHCC primary care sites.

    Performs data entry of member's days of attendance and participation in transportation for all WHCC appointments.
    Coordinates and confirms driver routes (master driver manifest) to maximize vehicle capacity and member satisfaction.
    Daily communication with transportation drivers to ensure they are informed of members' individual transportation needs/or concerns (i.e. walker, wheelchair, cognitive status, etc.).
    Monitors driver's daily logs to ensure compliance; performs daily collecting, logging and tallying, as needed, of all trips provided by WHCC transportation (i.e. cross reference monthly invoices with number of trips).
    Responds to any inquiries by drivers concerning member/patient pick-ups, with timely and efficient response.

    Reports all obstacles or difficulties to department supervisor concerning the safe, efficient, and courteous provision of transportation services provided to WHCC members.

    Participate in daily huddles with the transportation drivers as appropriate

    meetings/committees

    as required.
    Perform all other related duties as assigned.

    Secondary Responsibilities:
    Cross trains in other duties to provide support during absences, crisis situations or heavy workloads.
    Performs related duties as assigned by the Member Services department.

    Minimum Qualifications:


    High School Diploma or GED coupled with a minimum of one year experience in coordinating a program, with preferred experience working in the health care field, logistics or transportation.

    Computer literacy and good data entry skills also required.
    Ability to create and utilize documents and spreadsheets within the Microsoft network of programs.

    Must have superb customer service skills with the ability to portray a warm caring smile over an advanced communicational system.

    Must possess or have the ability to possess a Class B license and the ability to drive a motor vehicle.

    Must be able to transport patients in short notice due to staff call outs and the needs of the department.

    Fully fluent in English and Spanish preferred.
    Electronic Health Records experience (i.e. eClinicalWorks) preferred.

    Physical Requirements :


    Performs all or some of the following tasks during the workday; standing and walking much of the day; in addition to reading, writing/typing, speaking, listening and sitting.

    He or she may occasionally climb or balance, stoop, kneel, crouch or crawl, taste or smell.

    When performing patient care:
    ü May occasionally lift/carry items weighing up to 10lbs.
    ü Will perform duties requiring a full range of body motion including handling and lifting patients.
    ü Will utilize manual dexterity and eye-hand coordination.

    ü Will experience frequent exposure to potentially infectious agents, communicable diseases, toxic substances, medicinal preparation and other conditions common to a provider's office.

    ü Will need normal, corrected vision and hearing to within normal range.
    ü May work under stressful conditions and/or work irregular hours.

    COVID-19 CONSIDERATIONS:
    All patients are subjected to COVID screening and are required to wear a mask when not receiving treatment. All staff members must be fully vaccinated.
