- Manage CEO's calendar, including scheduling, travel booking, and events management.
- Update CEO's CV and assist with responses to incoming requests for CEO engagement
- Assist with financial tracking.
- Facilitate communication between CEO and guests for webinars and events.
- Answer phones, and handle general administrative duties.
- Assist with Fundraising and Grant support, including:
- Organize and schedule donor visits and events (in person and online)
- Manage donor/donation tracking in database
- Help send donor communications.
- Help create fundraising materials including grant proposals, progress letters, fundraising decks and other fundraising materials
- Assist with Board activities, including:
- Schedule in person and online Board meetings
- Assist in board material preparation including agendas and minutes as well as charts and graphs and presentation slides
- Coordinate and manage files in Google Drive
- Coordinate online webinars, including recruitment of guests, and team management of webinar tasks in program management system.
- Coordinate, schedule, and help manage Advisory Council and Committee meetings across multiple constituencies
- Manage CHI administrative email, and project management assignments, including project tracking.
- Support website maintenance, email and other marketing, and social media efforts.
- Coordinate education projects, including the Science of Healing online Course, along with quarterly CE registration.
- Help to build additional education through team coordination on specific projects.
- Track completion and distribute certificates for educational programs.
- Proven experience in executive assistant roles and program coordination, preferably in a nonprofit setting.
- Excellent organizational and communication skills, with the ability to multitask and prioritize effectively.
- Excellent communication skills with the ability to interact with senior leadership, team members, and community members, with a cheerful disposition.
- Strong abilities in online platforms including Google Workspace, Slack, Asana, Zoom, Adobe, Kajabi, WordPress, Salesforce and / or other CRM systems.
- Ability to create reports and collateral materials for fundraising and promotional purposes.
- Strong attention to detail and ability to work seamlessly across multiple systems.
- Proactive, adaptable, and able to work independently with minimal supervision.
- Experience in website support, marketing, graphic design and social media management.
- Part-time position with daytime hours, approximately 20 hours per week.
- Must be able to work during business hours in your time zone.
- Hourly rate commensurate with experience.
