Job Function:
The Secretary II provides essential administrative and clerical support to the Pre-Collegiate Partnerships unit, which includes College Now (Dual Enrollment), Liberty Partnerships Program, Upward Bound, and related outreach initiatives.
The position supports program staff, students, families, and external partners by managing communications, maintaining records, coordinating routine administrative processes, and assisting with day-to-day operations.
The role operates under general supervision and exercises independent judgment in handling routine inquiries, prioritizing tasks, and supporting multiple programs with overlapping timelines and compliance requirements.
Description of Duties:
Program and student support
Serves as a primary contact for Pre-Collegiate Partnerships, responding to routine inquiries from students, families, school partners, and college offices.
Maintains accurate student and program records in college systems in compliance with confidentiality and FERPA requirements.
Administrative and office support
Provides clerical and administrative support to program staff, including correspondence, document preparation, filing, and record maintenance.
Schedules meetings and routine program activities; maintains calendars and prepares materials as needed.
Assists with basic data entry, spreadsheets, and routine reports using established templates.
Communication and coordination
Supports routine communications and mailings related to program activities, events, and deadlines.
Coordinates with internal college offices to support day-to-day program operations.
Budget, purchasing, and HR support
Assists with purchasing, supply tracking, and recordkeeping for program and grant-related materials.
Supports routine payroll and onboarding processes for student workers or part-time staff, as assigned.
Other duties
Performs other clerical and administrative duties as assigned in support of Pre-Collegiate Partnerships

Job Requirements:
Required Qualifications:Must currently hold the civil service title of Secretary II, OR be on the current eligible list for this title, OR meet the following minimum qualifications to be eligible for a provisional appointment if offered:
MINIMUM QUALIFICATIONS:
Graduation from high school or possession of an equivalency diploma, plus EITHER:
(A) Three (3) years paid full-time or its part-time equivalent office secretarial experience; OR,
(B) Graduation with a diploma or certificate from a school of business or business institute with a major in Secretarial Science, Word Processing, or a related area, plus two (2) years of experience as defined in (A) above; OR,
(C) Graduation from a regionally accredited or New York State registered college or university with an Associate's degree in Secretarial Science or related area, plus one (1) year of experience as defined in (A) abovePreferred Qualifications:
Bilingual and able to read, write, and speak Spanish, or other languages, proficiently
