    Description

    Essential Functions as Executive Assistant:

    • Perform all duties associated with supporting the office of the President & CEO to include calendar management and scheduling of meetings.
    • Act as a confidential assistant to the President & CEO in all matters and maintain the highest degree of discretion and responsibility for handling confidential information.
    • Serve on Freedom Bank Foundation and assist in planning events and distributing funds to approved charities.
    • Gather documents to prepare for meetings using OnBoard (meeting agenda software).
    • Coordinate travel arrangements for Executives.
    • Assist Board Chair and Board Committee Chairs with meeting preparation, logistics and report distribution.
    • Maintain attendance of board members at all meetings.
    • Aggregate and maintain meeting minutes for Board, Executive, Corporate Governance, and other meetings as needed.
    • Serve as back-up for managing distribution of press releases.
    • Other duties as assigned.

    Essential Functions as Corporate Secretary:

    • Fulfilling Corporate Governance related matters.
    • Take on special interest project on an as needed basis.
    • Designated as point of contact for interactions with AST &T and primary contact for shareholders and broker inquiries related to stock issuances, exercise of options and related recordkeeping.
    • Liaison for Federal and State Examiners & internal auditors and assist in the preparation and responses.
    • Schedule proxy, annual report generation and annual meetings.
    • Maintain director files and Annual Reg. O forms.

    Requirements

    • Minimum of 3 years of experience as an executive assistant.
    • Excellent written communication skills.
    • Excellent organizational skills.
    • Excellent time management skills.
    • Attention to detail to detail.
    • Must be tech savvy and be proficient in Word, Excel, PowerPoint, and Adobe Acrobat.
    • Knowledge of OnBoard (or other meeting software) a plus.
    • Strong analytical and problem-solving skills.
    • Dependable and flexible to work when there is a business need.
    • Able to work in fast paced environment and handle frequent interruptions.
