    Our client, a boutique NYC based investment firm, is looking for an Administrative Assistant to support their Investor Relations Team. This is a growth-oriented position and suited for candidates that are motivated, eager to learn and contribute.

    POSITION: Administrative Assistant, IR Team

    LOCATION: New York, NY

    HOURS: 8am – 5pm (this role is fully onsite 5 days per week)

    COMPENSATION: $80-115K

    RESPONSIBILITIES:

    • Assist the Investor Relations team with creative engagement strategies, ensure organizational tasks are up to date, update and maintain the investor database, plan trips, and organize speaking events
    • Coordinate conference calls and expert network calls, and conduct ad-hoc research projects
    • Proactively solve problems and address issues before they escalate
    • Prepare for meetings by reviewing upcoming agendas to ensure all necessary information is available, send agendas to attendees
    • Manage regular meeting schedules for the leadership team, ensuring materials are prepared in advance, time is efficiently utilized, and objectives are met
    • Take notes during meetings, ensuring action items are executed
    • Represent principals in meetings and calls when they are unavailable
    • Monitor information flow, occasionally acting as a gatekeeper, ensuring stakeholder's involvement in projects or decision-making processes at the right moment
    • Act as a thought partner, brainstorming and identifying solutions to challenges
    • Communicate wants, needs, concerns, and ideas in an effective and efficient way
    • Assist with the management of executive support staff
    • Track, report, and follow-up on the status of tasks with various internal constituents
    • Assist with light office management duties as needed (shared with admin team)
    • Additional Ad Hoc projects

    REQUIREMENTS:

    • 2-5+ years in a similar role
    • Experience booking travel and a strong work ethic, polished/poised, pro-active and customer service oriented; highly reliable, responsible, and responsive
    • Demonstrate a practical, common-sense approach to business issues and problem-solving
    • Impeccable communication skills, both oral and written
    • Ability to work under pressure and multi-task
    • Verifications of identity, education, prior employment, and references may be required
