    Job Description

    The Accounts Payable Specialist is responsible for providing accounting and clerical support to Business Office personnel. Maintains accounting document files, including daily work and accounts payable. Keys daily worksheets to the general ledger system. Prints accounts payable checks and inserts them into appropriate envelopes for mailing. Assists accounting personnel as requested.

    • Validates bills and audits commercial invoices to establish compliance of terms and reconciles discrepancies
    • Reviews expense and accounting documents for accuracy and appropriate approvals and ensures transactions are charged to the correct cost center/account
    • Overviews booked charges and payments
    • Ensures accuracy related to A/P batches including but not limited to proper posting date and check date
    • Updates and maintains vendor master list information including requesting W-9 forms from vendors
    • Update and maintain various spreadsheets needed for invoice processing and/or recordkeeping
    • Responsible for printing accounts payable checks, processing checks for signatures, and handling distrubution, including inserting checks into envelopes along with any required remittance information, applying required postage and mailing the checks
    • Prepares, processes, prints and distributes 1099 Miscellaneous tax forms annually
    • Organizes and maintains all accounts payable vendor payment files
    • Organizes and maintains all accounting system entries and reports including journal entries, daily transaction registers, check registers, AP aging reports, etc.
    • Carries out other duties as assigned
    Qualifications
    • HS Diploma or equivalent
    • 3 -6 hours of college accounting or equivalent bookkeeping experience
    • At least 1 year of progressively responsible clerical experience. (accounting activities preferred)
    • Requires a valid Texas Driver's License, appropriate driving record and auto liability
    • insurance that meets the minimum required by State of Texas statute.
    • Reliable transportation per the requirements of the position.
    • Mental and physical health sufficient to meet the demands of the position.
    • Sage/Mass 90 experienced preferred

    Required Skills:

    • Knowledge of modern office practices, procedures and equipment
    • Record-keeping techniques
    • Working Knowledge of MS Office applications (Outlook, Excel and Word).
    • Telephone techniques and etiquette
    • Energetic, forward-thinking and creative individual with high ethical standards and an appropriate professional image.
    • Demonstrated human relation and effective communication skills also required.
    • Superior organizational and problem solving skills

    Physical Requirements:

    Requires sitting, standing and walking for extensive periods of time. Requires working under stressful conditions or working irregular hours. Requires frequent exposure to communicable diseases, body fluids, toxic substances, medicinal preparations and other conditions common to a clinic environment.

    The employee frequently is required to reach with hands and arms. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Ability to work with a moderate noise level in the work environment is required.

    The occupant may, at times, lift and/or move objects up to 30 pounds. The noise level in the work environment is usually moderate.
