- Client Support: Serve as a primary point of contact for clients, addressing inquiries, resolving issues, processing client requests (e.g., money movement, account transfers, beneficiary changes), and ensuring timely follow-up.
- Account Management: Facilitate the end-to-end new account opening and onboarding process, including collecting client information and required documentation, ensuring all compliance procedures are met, and communicating with custodians.
- Administrative Support: Manage financial advisor calendars, coordinate and prepare materials/reports for client meetings, answer phone calls, client mailings, filing, and greeting guests.
- Data Management: Compile client data in Excel spreadsheets for internal use and in firm reporting software for client facing reports. Maintain accurate and detailed client information and interactions within the firm's CRM system (e.g., Redtail, Wealthbox) and other relevant databases.
- Operational Efficiency: Collaborate with internal departments (operations, investments, compliance) to ensure clients' needs are met efficiently and identify opportunities for process improvement.
- Compliance: Adhere to all industry rules, regulations, and firm policies, including logging client correspondence and maintaining accurate records.
- Education: Bachelor's degree required.
- Experience: minimum of 2+ years of experience in accounting or 4+ years in client-facing or administrative support role within the financial services/wealth management industry is preferred.
- Communication: Exceptional verbal and written communication skills, with the ability to explain complex information clearly and empathetically.
- Technical Proficiency: Strong computer skills, including advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with CRM software and custodian platforms.
