This role sits in the quiet center of the district's daily work. The Accounts Payable and Maintenance Administrative Assistant helps remove barriers so staff can do their work without getting tangled in processes. Bills are paid on time. Purchase orders move forward without confusion. Vendors are treated with clarity and respect. When something feels stuck, this person works it through so others can stay focused on what is in front of them.
The work reaches well beyond the desk. It supports maintenance projects, fleet coordination, public works compliance, and the details that keep buildings operating safely each day. There is real trust placed in this position. You are relied on to notice when numbers do not line up, to ask steady questions, and to handle district funds with care. The work requires focus and judgment, yet it is also relational. You will speak with staff who need help navigating a process. You will sit in meetings where practical solutions matter. The tone is professional, grounded, and human.

Terms of Employment and Salary:
This is a non-represented position.
The Hourly Rate range for the position is: Min. $26.58- Max. $34.18. Salary placement will be at Step 1 unless documentation of experience is received.
Each employee shall accumulate up to twelve (12) days of sick leave per year. An employee employed less than a full work year shall be entitled to a proportionate part of the sick leave allowance. (Example: An employee working 10 months will receive 10 days of sick leave.) A maximum of three (3) Annual Leave days are provided for all employees based on the employee's scheduled employment hours per day to be used for an absence during work hours, or to be accumulated for the purpose of cash out. Vacation per Policy 5411.
Employees anticipated to work more than 630 hours per year will be eligible for Benefits through the School Employees Benefits Board (SEBB) Standard benefits include Medical, Dental, Vision, Life Insurance, and Long-Term Disability. Positions anticipated to work 70 hours or more per month for at least 5 months over a 12-month period are eligible for Retirement through the State Department of Retirement Services
Schedule:
Mon – Fri - 7:30 a.m. – 4:00 p.m. for a 260-day annual contract

Nature and Scope of Job:
The position of Accounts Payable/Administrative Assistant for Maintenance was established for the purpose of supporting the day-to-day operational functions of the business office and maintenance, including purchase orders, accounts payable, district receipting, bank deposits, payroll support, custodial meetings, and general public relations aspects of the school district.

Primary Job Functions
ESSENTIAL DUTIES AND RESPONSIBILITIES: (Other duties may be assigned.)
Business Office
- Create and support a positive experience for guests and district staff through all communication
- Maintain vendors and vendor lists, including W-9 collection and management in accounting software
- Enter requisitions for district and building level purchases as necessary to support all district staff
- Maintain and monitor all purchase orders and expense claims for the assigned funds
- Assist with procurement processes comparing to purchasing thresholds for policy and regulation compliance
- Prepare, code, enter, and reconcile accounts payable and 1099 reporting for assigned funds
- Responsible for reconciling vendor statements and ensuring all payments are made on time
- Responsible for follow up on outstanding checks for GF, CPF, TVF, and any other assigned funds
- Handle district deposits including bank runs, imprest account, bank reconciliations, and replenishment deposits
- Manage Amazon Business Account, including purchase orders and users
- Manage district credit cards
- Process Department of Revenue tax payments no less than quarterly, as needed
- Monitor and update per diem and mileage rates for staff reimbursements
- Maintains a continuous internal auditing program for all assigned funds
- Payroll support as assigned
- Maintain a wide variety of fiscal information, files and records (manual & computerized) for the purpose of documenting activities and providing real-time information for fiscal activities (including, but not limited to, invoices, purchase orders, receipts, banking information, and reconciliations)
- Assist with monthly building and program reports
- Assist with various required state reporting requirements including audits
- Support asset management process across the district
- Regular and predictable attendance consistent with district expectations
Maintenance Administrative Assistant
- Secretary for maintenance and custodial meetings
- Monitor, assist, and communicate with staff regarding work orders for maintenance
- Manage small works roster
- Enter and process combined reports via the WA L&I website for public works projects
- Ensure compliance with both state and federal prevailing wage laws
- Read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals
- Work with vendors for deliveries and annual inspections
- To include, but not limited to, water, garbage, septic pumps, required facility inspections, and WSP vehicle inspections
- Maintain logs on inspections for buildings and district fleet
- Navigate urgent repair needs alongside maintenance to ensure the safety and security of our staff and students
District Fleet Support
- District fleet coordination to include scheduling maintenance, repairs, inspections, and assist with coordinating trips using district vans
- Manage gas cards for district fleet
Additional Information:
- Must be willing and able to work in the following conditions: busy, noisy, with constant interruptions

QUALIFICATIONS
Minimum Required Qualifications (Traits, Education, Experience, Training, Physical Requirements, etc.):
- A.A. or B.A. degree with emphasis on accounting and/or bookkeeping preferred
- A combination of college course work, technical training, and related work experience may be considered in lieu of a degree
- Demonstrated strong math skills
- Strong computer skills, including word processing, spreadsheets, presentation software and accounting programs with keystroke proficiency
- Ability to handle money accurately and efficiently
- Strong record keeping, communication, and organization skills
- Able to work efficiently and effectively with timelines and deadlines by planning assignments and monitoring performance according to priorities and arranging work schedule to meet critical deadlines
- Ability to work with multiple interruptions
- Proven ability to exercise the highest level of confidentiality
- Ability to develop and maintain effective public relations with staff and community
- Excellent communication skills with staff, community, and vendors
- Proven ability to work both in a team and individual setting

- WESPAC/Skyward experience
- School or governmental accounting experience
- Job-related experience with increasing levels of responsibility
- Washington State ASB laws and requirements knowledge
Working Environment:
- Temperature controlled clean and healthy environment with occasional exposure to outside weather situations
