    Description
    A specialist is required to maintain the GAP, warranty, and tax refund process for the foreseeable future.

    The speciaist will be responsible for maintaining and tracking lists of all GAP and warranty products that are paid off, sold, or repossessed.

    The specialist will track payments and communications regarding the refunds.

    The specialist will also be required to work with other depaarmtents for the purpose of improving automation and efficiency; reporting on the refund process; and identifying other means to improve communication with dealers and our membership.

    The specialist will also help with other collection department tasks as needed.


    ESSENTIAL FUNCTIONS AND BASIC DUTIES

    • Maintains and tracks GAP, warranty, and tax refunds.
    a. Receives reports of all paid off loans that still have potential GAP, warranty, or tax balances remaining.

    b. Reviews list to identify the status of any GAP, warranty, or tax refunds that still need to be collected.

    c.

    Communicates with the repossession team of the collections department in identifying repossessed vehicles that require GAP, warranty, or tax refunds.

    d. Archives any reporting for the purpose of acquiring data on the efficiency of refunds and processes.

    e. Applies refunds to the proper member accounts; works with the Accounting Departments to accounts for all received refunds.


    • Sends and archives communcation letters, texts, or calls for obtaning refunds on GAP and Warranty Products.
    a.

    Uses data to identify dealrs and members that require a notice sent about the refunds of GAP and warranty products.

    b.

    Attmepts communication via letters, texts, or phone for the purpose of informing dealers and members on the the refund of GAP and warranty products.

    Repeats process with nonresponsive dealerships.


    • Identifies processes, and assists other departments, in automating communication and improving efficiencies.
    a.

    Identifies areas where there are innefficiencies regarding the porcess of receiving refunds and communicating with dealers and members on refunds.

    b. Works with other departments to make improvements in effieciency and in automating efforts where possible.

    c. Attends and participates in meetings as required.


    • Assist the collections department with additional tasks related to that department.

    PERFORMANCE MEASUREMENTS

    • Reports of GAP, warranty, and tax refunds will be closely monitored and reviewed.
    • Appropriate GAP and Warranty refund actions will be instituted which are in accordance with established Credit Union policies and are legally compliant.
    • All parties connected with Repossessed vehicle accounts are promptly sent communcation regarding refunds. Communiction with the repossession team is open and clear regarding these activities.
    • Professional business relations exist with members. Members are properly assisted with their refund issues and their questions are courteously answered.
    • Required reports and records are accurate and timely.
    • Good working relations exist with area personnel and with management. Management is appropriately informed of area activities.
    • Works a regular and predictable schedule.

    QUALIFICATIONS
    EDUCATION/


    CERTIFICATION:
    High school graduate or equivalent.


    REQUIRED KNOWLEDGE:
    Knowledge of GAP and warranty products preferred.

    Understanding of Credit Union loan products and policies. Familiar with insurance product contracts.

    Familiarity with deposit programs, account ownership, and casualty insurance.


    EXPERIENCE REQUIRED:
    6-12 months preferred

    Using primarily just the fingers to make small movements such as typing, picking up small objects, or pinching fingers together.

    Average, ordinary, visual acuity necessary to prepare or inspect documents or products, or operate machinery.


    PHYSICAL STRENGTH:
    Sedentary work; sitting most of the time. Exerts up to 10 lbs. of force occasionally. (Almost all office jobs.)

    MENTAL ACTIVITIES AND REQUIREMENTS OF THIS POSITION

    REASONING ABILITY:
    Ability to deal with a variety of variables under only limited standardization.

    Able to interpret various instructions.


    MATHEMATICS ABILITY:

    Ability to perform basic math skills and to use decimals to compute ratios and percents, and to draw and interpret graphs.


    LANGUAGE ABILITY:
    Ability to speak and write English (or Braille).
