Job Description1. Entering all contract information daily as it comes in and changes into notes in QuickBooks for all contracts, change orders, certificates of insurance for all divisions and anything else required
2. Making sure all Subcontractor Agreements are up to date along with certificates, track renewal dates for
3. Ensure that all relevant information related to Managed Accounts is routinely monitored. All AR and invoicing must be updated weekly.
4. Enter all new jobs into QuickBooks, job book and tool tracking software.
5. Entering and distribution of Purchase Orders
6. Entering job names and job numbers to Manpower log
7. Monthly billing of all job tickets for Managed Accounts while working to maximize and coordinate with account field staff to billing any and all tickets
8. Weekly updates of Work in Progress log
9. Coordinating weekly AR updates with Managed Accounts and projects.
10. Updating, tracking, and closing jobs in WIP Report
11. Prepare and present reports as required by governmental agencies for all permits and bonds.
12. Responsible for ensuring all electrical licenses for all employees are renewed yearly
13. Entering job numbers daily to ensure they can be selected via time keeping application
14. Responsible for following up with open AR
15. Prepare partial/final waivers and invoices for payouts in a timely manner for projects.
16. In charge of collection and completion of Chicago Title Waivers and any material waivers that coincide with waiver requests/pay apps
17. Prepare and present reports as required by governmental agencies for all permits and bonds.
18. Responsible for collection and distribution of Certificates of Insurance, bonds and permits
19. Responsible for coordinating time for payroll.
20. Setting up and timely cancelling of monthly parking for field employees
21. Coordinating all educational classes with PM's. Includes signing them up and confirming they are entered.
22. Completion of Contractor prequalification's as needed
