Job Location STW - Stillwater - Stillwater, MN Associated Eye Care is currently seeking a Contact Lens Coordinator. This individual is responsible for the administrative segment of AECs contact lens business. The position involves ordering, dispensing and returning contact lenses, collaborating with the business office to correctly bill for services and materials, collecting appropriate payments for services and materials, triaging patients questions and concerns regarding contact lenses and accurately documenting actions in EHR. Candidates must be able to work full-time. * Provide excellent customer service to patients and teammates

Respond appropriately within scope of knowledge and promptly to patients questions; forward patient questions to the appropriate person if unable to answer

Accurately document information in accordance with AECs procedures and policies

Abide by all policies and procedures as outlined in AECs employee handbook

Coordinate scheduling of specialty lens fittings ensuring that the lens warranty is maintained during entire fitting period

Communicate with complex contact lens patients prior to exam and obtain medical records of previous ocular and lens history

Sign patients up for myeyestore when ordering for the first time or possibly at scheduling of the appointment

Order, receive, dispense and return contact lenses in a timely manner; accurately document all steps in this process

Advise contact lens technicians and patients of backorders

Respond to requests from AECs online store, ABB, 1-800-CONTACTS, and others as needed

Collaborate with contact lens technicians to maintain contact lens trial lens supplies

Put contact lenses in their appropriate locations upon arrival

Maintain accurate filing and storage of all invoices

Manage location and transfer of specialty contact lens sets

Triage contact lens phone calls; within scope of knowledge help answer the patients questions or forward to the appropriate person

Verify patients contact lens benefits prior to the exam

Properly code the patients encounter by linking of diagnoses to contact lens orders and/or services when billing insurance

Participate in regular team meetings to ensure effective team performance and advance inter-department communications; this may require after hours work

Must be willing and able to work a variety of hours and work in the various locations as needed. The locations include: Hudson, Hugo, New Richmond, Stillwater, and Woodbury.

Must present self at the workstation, ready for work, at the scheduled time

Participates in department and company meetings, as requested

Performs other duties as assigned

1-2 years optician, optometric or ophthalmic practice experience preferred, with basic understanding of contact lenses

Experience with an EHR system preferred
