The Director of Legal Operations manages the day-to-day operations of the legal department, provides a departmental point of contact for internal and external constituents, and provides administrative and paralegal support to the Legal Team.  This position reports to the Chief Legal Officer.

Key Responsibilities:

  • Provides administrative support to the Chief Legal Officer and other in-house attorneys and assists with the supervision and management of any assigned executive/administrative/legal assistant supporting the Realberry Legal Department.
    • Plans, coordinates, and manages the Chief Legal Officer and other in-house attorneys' schedules. Understands needs of the Realberry Legal Department in order to successfully prioritize, arrange meetings and handle matters quickly and efficiently.
    • Accurately drafts, proofreads, and assists in the creation of departmental materials, including documents, reports, memos, briefings, presentations, forms and other items ensuring accuracy and completeness.
    • Acts as first point of contact for external phone calls, voicemails and visitors, responding independently when possible and determining which should be handled by other team members.
    • Researches, compiles and analyzes data for cycled administrative items (e.g. expense reports) and special projects.
    • Tracks and keeps executives on track with project deadlines.
    • Tracks and submits departmental expense reports monthly.
  • Provides paralegal support to the Legal Department
    • Prepares documents and correspondence of a legal nature such as contracts, licenses, short-term leases, invoices, summaries, letters, and complaints.
    • Provides support for Legal Department team members and consultants in finalizing legal documents, assembling signature pages and other projects as assigned. Must have the ability to spot errors, issues and incomplete documents.
    • Assists with business, operational and liquor license matters.
    • Maintains real property closing files and is responsible for ensuring closing documents are assembled, verified, signed and delivered by closing deadlines.
    • Maintains litigation files.
    • Assists with the Company's investigation and handling of small claims and similar court/administrative proceedings.
    • Supports the Legal Department's equity subscription processes in partnership with other department personnel.
  • Partners with the Company's in-house Corporate Counsel to administer the Company's contracting program.
    • Maintains accurate and up-to-date electronic contract files in Yardi. Tracks contract progress and proactively pursues completion of contracts with vendors, business teams, and counsel.
    • Assists business teams in completing internal self-help contracts.
    • Provides training and guidance for business teams on contract-related matters.
  • Provides operational support to the Legal Department
    • Manages company legal workflow process by liaising with all Realberry departments to ensure continuity and seamlessness of the Legal Department's provisioning of services.
    • Assists in development, implementation and operation of procedures and programs for Legal Department.
    • Communicates directly and on behalf of the executives with others as directed, providing effective and timely communication.
    • Manages corporate records in accordance with procedures and supports the Company's document retention and file maintenance initiatives.
    • Processes, tracks and maintains the Company's entity filings.
    • Assists with event planning of internal and external events hosted by Realberry's Legal Department.
  • Manages outside counsel billing, budgeting and administrative matters.
    • Maintains legal billing software and vendor relations.
    • Reviews all external counsel invoices for accuracy and works closely with the outside law firms on processing, revision and correction of invoices.
    • Communicates with outside legal counsel attorneys, assistants, and billing coordinators to facilitate project specific work and issue resolution.
    • Provides routine reporting to the Chief Legal Officer around budgeting, billing, expense and cost savings.
  • Content creation and maintenance of the Legal Departments internal SharePoint resource site.
  • Provides support to the Company's Employing Broker
    • Maintains listing agreement master file.
    • Reviews listing agreements for accuracy.
  • Assists with other duties as assigned.
Qualifications
  • 10+ years of high-level legal/executive assistant or paralegal experience
  • Experience managing an in-house legal department or supporting a corporate legal team is preferred
  • Strong attention to detail
  • Ability to maintain confidentiality and professionalism
  • Strong customer service mind-set including very strong communication skills, spirit of teamwork and ability to work with a wide cross-section of internal customers
  • Self-starter with the ability to succeed and multitask in fast-paced environment with competing deadlines
  • Obtain and maintain notary license
  • Familiarity with Legal Tracker / Serengeti preferred
  • Strong technology skills and ability to learn and adapt to new technology platforms
  • Ability to work from the Denver office a minimum of four (4) days per week in alignment with the company's hybrid work model.
