    Description

    The Accountant is primarily responsible for assisting with month end reporting, invoicing, cash application, collections, reviewing employee timecards, performing contract administration functions, and administrative tasks such as business licensing and reporting.
    Summary of Essential Job Functions

    • Assist in preparing month-end reporting and account reconciliations
      • Preparing and reviewing costing of manufactured fire trucks and investigating discrepancies
      • Prepare and post journal entries, accruals, and adjustments
      • Analyze variances and investigate discrepancies to ensure accuracy of financial data
    • Perform accounts receivables functions including, but not limited to:
      • Daily processing of financial transactions including receipt and processing of 3rd party payments
      • Perform credit analysis of new clients
      • Perform collection of late or delinquent accounts
      • Maintain updated customer and client files
      • Implement process improvement ideas to streamline current responsibilities and better utilize existing technology
      • Review all credit balances, refunds, adjustments; apply adjustments to billing records
    • Cross train on other accounting functions such as accounts payable
    • Manage company's business licensing for federal, state, and local compliance
    • Perform contract administration functions including:
      • Manage and maintain company's cooperative purchasing agreements and process bid responses on behalf of company
      • Track contract lifecycle milestones-such as renewals, amendments, expirations-and maintain organized documentation and audit trails
      • Report on cooperative purchasing performance, contract compliance issues, and contract-specific financial metrics to stakeholders or external agencies
    • Review and audit employee timecard entries in Microsoft Dynamics Business Central; ensure accuracy, resolve exceptions, and escalate discrepancies to operations
    • Perform other duties and responsibilities as assigned
    Qualifications
    • Minimum of an Associate or Bachelor's degree in Accounting or Business Administration
    • 2-4 years of experience in accounting or cash collection processes or contract administration
    • Proficiency in Microsoft Office applications and various accounting software (ERP: Microsoft Business Central experience is a plus)
    • Ideal candidate will have a high degree of professionalism in working with internal and external customers, be very detail-oriented, demonstrates the ability to prioritize tasks effectively, and have well-developed organizational skills.
    General Physical Requirements and Physical Activities: generally sedentary work; seated at desk for extended periods while talking on telephone or performing work on computer; standing, bending, reaching above shoulder level, walking, occasional lifting and carrying (up to15 lbs), frequent near vision for reading and computer work; repetitive use of hands, fingers, wrists for keyboard and other business machine usage; occasional stressful conditions.
    Working Conditions: Approximately 75%-90% of work is performed in an enclosed office, cubicle, or open workstation under conditions that can be described as "normal office environment", with controlled climate and minimal exposure to health or safety hazards; occasionally work requires presence on plant manufacturing area. When in plant manufacturing area, there is possible exposure to:
    electric current; oils and lubricants; moving mechanical parts; chemical cleaners and solvents; sharp edges; airborne dust, metal and fibrous shavings; intense light from welding; motorized forklift truck traffic; overhead crane operation; seasonal temperature variations (ex., high temperature and humidity during summer months); noise - loud, sharp, extended, impulse; up to, and occasionally exceeding, 85dBA (noise levels may require use of hearing protection).
