- A high school diploma or equivalent is required. A bachelor's degree is preferred, but not required.
- Training and/or experience in secretarial skills, office management, computer and word processing preferred.
- Demonstrate a positive customer service attitude to all visitors, parents, staff, and students. Be supportive of the "what's best for kids" attitude of the Athletic Department.
- Prepare and process all student athletic forms, health cards, and emergency medical authorization forms
- Process Pay to Participate/Activity fees
- Keep accurate records of student athletes using Schedule Star; determine eligibility using the student management systems
- Prepare purchase orders and process orders received, serve as clerk-custodian of activity accounts as instructed by the Athletic Director
- Contact and confirm all game officials
- Assists the Human Resources Department in processing employment paperwork for new coaches, event workers and student workers
- Aids in the preparation of supplemental employment lists for monthly board of education approval
- Organize Wooster High School sports using Schedule Star and OHSAA web sites
- Coordination of assigning officials with arbiters and assigners
- Types and processes a variety of material such as letters, reports, spreadsheets, faxes and emails
- Maintains a regular filing system for athletic director and the athletic department
- Processes incoming correspondence
- Orders and maintains supplies as needed
- Maintains a schedule of appointments and makes arrangements for conferences and interviews (when applicable)
- Welcomes department visitors and arranges for their comfort and screens unexpected callers
- Assists student athletes with concerns and/or problems when appropriate
- Maintains complete set of files and correspondence for athletic teams
- Processes school and officials contracts
- Assists with team scheduling
- Does typing, filing and telephone work for the entire coaching staff, as well as trainers
- Handles incoming telephone lines, screens calls and forwards to appropriate team/department/person
- Screens and evaluates fundraising opportunities and forwards to the most appropriate team coach
- Gather information, types and processes reports for state, district, and league organizations
- Coordinates pre-sale ticket program for football and basketball games, as well as tournament games
- Processes all team transportation requests, and maintains a daily log of the same
- Works closely with the transportation department to ensure accuracy of athletic trips and departure times
- Maintains the athletic department petty cash checking account, which includes writing and processing checks for all athletic officials, replenishing the checking account and reconciling the account monthly
