    Job Description Patient Service Representative/Certified Medical Assistant - 20 hours per week **Description**

    **POSITION SUMMARY: Part time 20 hours**

    Acts as a representative in all areas of clerical support. Assumes responsibility for all facets of front desk operations, including greeting and registering patients, answering phones, scheduling appointments, entering patient charges and demographics, retrieving and updating medical records, collecting fees and performing general clerical and other duties as assigned in accordance with Joint Commission, NCQA and government standards, as well as policies and procedures of PPA.

    Assists provider in the administration of patient care in assigned clinical areas by assisting with patient examinations, procedures, diagnostic studies, treatment, and dressing changes and performs general administrative duties all in accordance with The Joint Commission, CLIA, NCQA and government standards, as well as company policies and procedures.

    **PRINCIPAL DUTIES AND RESPONSIBILITIES:**

    Under the direct supervision of the Practice Manager and within established policies and procedures, the incumbent performs the following essential functions:

    Patient Service Representative:

    Processes daily charge tickets for incoming patients and processes provider daily schedule.

    Greets and registers patients; notifies medical staff of their arrival.

    Verifies current address, insurance status and emergency contact.

    Is responsible for obtaining patients signature on registrations forms as well as on yearly renewals.

    Photocopies and inputs patient demographic information, insurance data and all other information.

    Interacts with patients regarding complaints for effective and immediate response and resolution. Refers to Office Coordinator or Practice Manager as appropriate.

    Receives incoming telephone calls, either directly or from the switchboard and takes messages if appropriate.

    Scans Documents and follows guidelines to sorting them into patients charts.

    Offers patients access to My Chart, then monitors and appropriately response via phone or email.

    Documents accurately and thoroughly in patients chart, upon receiving a phone call, per office protocol.

    Uses appropriate company procedures, referring doctors and correct protocols for writing referrals. Schedules referral appointments with specialists, hospital tests and lab work.

    Supports the discharge of patients from the office. Collects payments and charges the patient at time of service. Uses all ICD-9 and CPT coding to ensure correct charging and posting to patient accounts. Views batch for appropriate CPT and ICD-9 codes, balances the batch and completes batch control tickets.

    Maintains providers schedules, optimizing effective scheduling of appointments.

    Open, sorts and distributes mail to appropriate staff. Pulls and delivers paper records if requested by providers. Opens, sorts and distributes incoming mail to physicians and staff. Prepares hospital and outgoing mail.

    Interacts and communicates professionally with co-workers, management and patients.

    Ensures confidentiality of employee, legal, client, budget, and all other company matters.

    Assists in developing and implementing systems to support effective and accurate registration of patients. Makes recommendations to increase efficiency of patient care or administrative functioning of area.

    Assists in orientation of new employees to office functions, shares pertinent information and effectively teaches others to perform tasks accurately and effectively.

    Review incoming reports for duplication and scans in originals discarding duplicate reports.

    Protects confidentiality of patients information. Follows HIPAA guidelines and NH state law with regards to release of information.

    Processes the release of medical information in accordance with regulatory requirements, and ensures federal and state statutes are followed. Photocopies and prints information in the original medical record to include downloading information from the electronic medical record. Calculates fee and creates invoice associated with the release of information requested.

    Scans and enters Protected Health Information (PHI) into EMR.

    Maintains the knowledge of The Joint Commission standards regarding medical documentation and HIPAA requirements.

    Medical Assistant:

    Reviews charts prior to patients scheduled appointment to assure that all requested lab work and diagnostic procedures have been completed and that reports have been returned and are accessible to the provider.

    Reviews charts for current medications, immunizations, treatments, height, weight and problem list.

    Obtains and records patient vital signs, height, weight and reason for visit. Reviews risk assessment questions as appropriate. Updates preventative care flow sheet, allergies and medications. Verifies patient pharmacy, preferred lab and advance directives.

    Directs patients to examination rooms; assists in preparing patients for examination; assists patients in undressing, dressing and getting on and off of the examination table. Notifies provider of patients arrival and readiness for their examination.

    Monitors patient during and following procedures; looks for reactions and other visible complications; reacts to emergency situations; notifies the appropriate person in the event of a medical emergency.

    Applies and removes dressings under the direction of the provider.

    Performs all Point of Care Testing in accordance with the CMC laboratory guidelines. Handles all specimens using Universal Precautions.

    Completes laboratory forms. Processes laboratory samples and ships to reference labs.

    Interacts with patients regarding clinical complaints for effective and immediate response and resolution. Refers to Practice Manager as appropriate.

    Participates in quality assurance activities and all training seminars (OSHA and others).

    Interacts and communicates professionally with co-workers.

    Takes messages and assists provider with return phone calls to patients and pharmacies.

    Calls in prescriptions with provider approval.

    Schedules and carries out appointments for patients requiring blood pressure checks, throat cultures, individualized teaching, etc. as prescribed by the provider.

    Secures patient signature on consent forms for immunizations and invasive procedures.

    Screens provider calls and utilizes assessment skills to evaluate patients chief complaint; determines urgency of the problem; consults with provider regarding treatment and advises patient accordingly.

    Acts as liaison between provider and other departments, agencies and pharmaceutical representatives.

    Maintains patient confidentiality at all times.

    Assists with admission of patients to the hospital, as needed.

    Coordinates information with external laboratory.

    Maintains quality control for all medications and supplies.

    Keeps nursing area and exam rooms stocked, clean and orderly.

    Maintains stock of health information pamphlets; provides pamphlets to patients. Directs patients to proper sources of information.

    **Qualifications**

    **WORK SCHEDULE**:

    Generally Monday through Thursday, days. Occasional requirements to work evenings or weekends depending on the schedule of the practice to which the employee is assigned.

    **QUALIFICATIONS**:

    Education:

    High school diploma or equivalent.

    Graduate of an approved Medical Assistant program.

    Experience:

    Two to three years experience in health care setting performing similar work activities including, but not limited to clerical, billing or insurance processing.

    Licensure/Certification:

    Basic Life Support (BLS) certification required.

    Medical Assistant Certification requirement. Must sit for and pass the cert
