    Our growing financial service firm in Des Moines, IA is seeking to add a Client Service Administrator to our team The ideal candidate for this role will be someone who has the desire to work in the financial industry long-term and contribute to the growth of our business.

    Job Description:

    The purpose of this position is to ensure smooth day-to-day operations of the practice while providing superior customer service to the firm's prospects, clients, and team members. Position requires the employee to perform general administrative services such as taking incoming calls, calendar management, file system organization, outgoing mailings, and welcoming clients to the office.

    Minimum Requirements:

    • Associates Degree preferred
    • Financial Industry experience required
    • 2+ years working alongside a Financial Advisor in a fast-paced office environment preferred
    • Experience with MS Office Suite and the ability to learn new software quickly
    • CRM experience

    Responsibilities:

    This Client Service Administrator will be expected to have consistent follow-through with all efforts, build relationships with prospects and clients, and help prepare the Advisor for client appointments. Other daily, weekly, and monthly tasks may include:

    • #1 back up to receptionist - Answering the phones, creating clients and setting up conference rooms and managing advisors calendars.
    • Manage client onboarding process
    • Organizing online and physical client folders for reviews
    • Client advisory agreement preparation
    • Manage client email database
    • Record notes from every client conversation in the Retail CRM
    • Adding/Updating client accounts in Redtail CRM
    • Organize and file statements and client folders
    • Maintain an organized, compliant, and efficient filing system
    • Assist with copying or scanning as requested by the team
    • Pull appropriate client files when requested by the team
    • Mail all outgoing correspondence
    • Manage advisor's calendar regarding appointment scheduling and rescheduling, primarily existing appointments.
    • Manage task in Bamboo HR system
    • Call in allocation changes as needed

    Salary:

    • $48K - $58K (dependent upon experience)

    Benefits:

    • 401(k) Match - 3% and profit sharing
    • 75% coverage of Health/Dental/Vision
    • $100k life insurance (company paid)
    • Monthly bonus after 90 days
    • Incentive Trip or Bonus (after 1 year)

    Hours:

    • Monday-Thursday: 8am-5pm
    • Friday: 8am-1pm
